Configure a default area for a field

A default area for a field is a location on a document where the value for a field is expected. This area is shown in the viewer during Validation when the field has no extraction result. Also, when a user clicks on the field in the validation form, the viewer jumps to the defined default area. For example, you can use a default area when you cannot find the invoice number, but you know that it should be in the upper section of your document.

Note Fields that are extracted using the Advanced Zone Locator do not need a default area. This is because zones are defined for a field and these are shown in the viewer instead.

For multi-page documents, you can further refine the location of the default area by specifying the Page option. This option can be changed from <none> to either First page, Second page or Last page. For example, an address is always located on the first page of a document. Similarly, the total of an invoice is always located on the last page of a document.

Tip For the best results, define default areas for your fields once the actual form design is complete. This ensures that you do not waste time defining areas for fields that are later removed or modified.

You can configure the default area for a field on the validation form by following these steps:

  1. In the Project Tree, locate the class with the validation form to update.
  2. Open the Documents window if it is not already open.
  3. Select a document set, a document subset, and then a document that contains the necessary content for the selected class in the Project Tree.

    The selected document is displayed while customizing the validation form. When no document is selected, nothing is displayed in the viewer.

  4. On the Design tab, in the Validation Forms group, click Customize.

    If you configured the project for more than one Validation step, select Step <n> from the submenu, where <n> is the number of the step whose validation form you are customizing.

    The Validation Form Layout window displays the form in a standard layout if you are defining the form for the first time, or your customized form.

  5. Select the field on the validation form that requires a default area.

    If you select the Field Label or the Field Viewer, you cannot draw a default area. As a result, ensure that you select the Field itself.

  6. In the Document Viewer, lasso the area of the document that is always associated with the selected field.

    A yellow box with a red border is shown, the name of the area is called "Default Area," and the properties are updated to show that this field is no longer specific to a page. It is now specific to the selected area.

  7. Optionally, select a Page property value documents with multiple pages.
  8. Optionally, resize the default area by dragging the corner handles until you have the desired size.
  9. Optionally, move the default area by clicking and dragging it to a new location.
  10. Repeat these steps an add as many default areas for your fields as required.
    Note When you select a new field, the default area from the previous field is no longer displayed. If you select that field again, the default area is displayed.
  11. When you are finished configuring the validation form, select Close from the Window menu.

    The validation form closes and your changes are saved.
