Map database fields to locator subfields

Once a reference database is selected, you need to map the database fields to the subfields from the locators within the same class. The most common locator method used is an Advanced Zone Locator. This locator method produces multiple subfields containing recognition data.

For example, an Advanced Zone Locator produces four subfields of customer data: "First Name," "Middle Name," "Last Name," and "Social Security Number."

The "First Name" field is important, but could exist in a different form. For example, "John" could be written "J." on a document. However, you do not want to match the record if the first name bears no resemblance, such as "David". Therefore, select Partial match required for this field.

The "Middle Name" may not be present on the document, but the record should not be excluded if it is not there. Therefore, select No match required for this field.

The "Last Name" and "Social Security Number" are mandatory. If these do not match, you should not return that record. Therefore, select Exact match required for these fields. The following table shows a summary of the conditions for this example:

Table 1. Criteria for locating the record
Field Evaluation Type
First Name Partial match required
Middle Name No match required
Last Name Exact match required
Social Security Number Exact match required

The input data within these subfields is used as the input of the evaluator to locate the corresponding database record for that document.

You can map database fields to locator subfields: by following these steps:

  1. Open the locator properties.
  2. On the General tab, in the Assign Locators to Database Fields table, select the first database field.
  3. In the Locator column, click the value to display a list.
  4. Select the subfield with data best suited to match the value in the selected database field.
  5. Repeat these steps for the remaining database fields.
  6. Open a test document and click Test to test your settings.
  7. Optionally, click Close to close the locator properties window.
  8. Save the changes to your project.
