Scan documents

Use the capture workflows to scan documents and send them to the desired destinations. These workflows are defined in AutoStore. When you log on to the device, the workflows that are available to you appear on the Launcher screen.

  1. Click the workflow you want to use to capture documents.

A capture screen with the name of the workflow appears. The screen contains a form with the fields assigned to the workflow.

    Click the menu button (
    Menu button
    ) to display additional options:

    About

Displays the version of DWS and the Unified Client for Xerox.

    Server Status

Lists the names, status, and addresses of the servers connected to the device.

    Logout

Logs out of the current user session, and returns to the Login screen.

  2. Complete the fields for the job. An asterisk indicates a required field.

Click the field to enter the value, or click the button on the end to search for or select the value from a popup window. Close the window to select the values and add them to the form. For more information about the different types of fields, see Scan form fields.

  3. The Scan Settings section of the window displays the color mode, file type, and resolution used for scanning. If you are satisfied with these settings, you can skip to the next step. If you need to change these or any other scanner settings, click Change.

    The Scan Settings screen appears.

Set the scan settings and click Done or click the back button (
    Back
) to return to the capture screen without changing settings. For information about this screen, see Scan Settings screen.

  4. Click Scan.

The pages are scanned, and the status appears on the screen. Depending on the model of scanner and whether you are using the feeder or flatbed, the following happens:

    • If you are scanning from the feeder on an AltaLink or VersaLink device, a notification of the scan status appear on the screen.

    • If you are scanning from the flatbed on an AltaLink device, a notification of the scan status appear on the screen.

    • If you are scanning from the flatbed on a VersaLink device, a screen displays buttons for continuing the job:

      • Done: Completes the job and sends it to the destination.

      • Add page: Returns you to the capture screen where you can add pages to the current job before sending it.

      • Cancel Job: Cancels the job without sending the pages.

Scan jobs are stored in the DWS cache until they are processed. If there is a DWS failover before the transaction is posted on the server, the transaction could be lost.
