Walk-up copy workflows and billing codes

If you create a walk-up copy workflow, you can enable the use of billing codes. If you use Equitrac, select the option to make jobs in the session billable or unbillable. Users are not prompted for billing codes if Equitrac is not used.

When setting up the workflow in Equitrac, do the following to enable billing codes.

  1. Enable Billing code prompt at Login.
  2. Add a UI control for the Billable flag to specify a billing code.
  3. Set the default value of the Billable flag to true.
  4. Set the string to be displayed for the UI control in System Manager by specifying System Configuration > Global Configuration Settings > User Interaction > Session Flow > Billing Codes > Billable label.
  5. Set the UI control to be displayed on the Billing Code screen by specifying System Configuration > Global Configuration Settings > User Interaction > Session Flow > Billing Codes > Prompt for Billable.

    The Prompt for Billable option shows or hides the Billing Code screen. The UI control only appears when the Billable flag is true.

When users log on to the device, they are prompted to enter billing codes. If the workflow is configured to prompt for a billing code at login, the billing code applies to all jobs in the current session.

Users are not prompted for a billing code under the following situations:

  • If there are no billing codes assigned to the logged on user. The job cost is recorded against the user or department account.

  • If only one billing code is assigned to the user, and the billable checkbox is not required. The job cost is recorded against that billing code.
