Data privacy management

Kofax provides a tool to assist with user data management in order to anonymize or erase user's private data, including the user records and print tracking history, without compromising the integrity of the customer’s print records.

To manage user data privacy, do the following:

  1. In System Configuration select Global Configuration Settings > Security and Authentication > Data Privacy Operations.
  2. On the Data Privacy Operations screen, select Account name, Full name or Email address from the Find user by drop-down list.
    Optionally the search can Include deleted users.
  3. Enter the appropriate text in the search field and click Find user. All users containing the entered text will be listed.
  4. Click on the user to manage their personal data. The User Information section displays the User ID, Account name, Full name, email address and account status.
  5. Click Generate basic report to display General user information. Click Export report to save a .txt file of the report.
  6. Click Generate detailed report to display general user information and transactions. Click Export report to save a .txt file of the report.
  7. Click Anonymize, and click Anonymize again to confirm that you want to permanently anonymize the user.
    To prevent the user from being imported again from AD/LDAP, delete the user from AD/LDAP before using the anonymize feature.
