Assign delegates to users

Users can be assigned to act as a delegate to release another user’s print jobs. For example, an assistant needs to release a manager's print jobs from a device, therefore the assistant is assigned to the manager’s account as a delegate. The manager (delegator) sends a job for printing, and the assistant (delegate) logs in to the device with their user credentials to release the job via Follow-You Printing. The delegate is presented with a list of their documents, followed by a list of the delegator’s documents. A delegator may have multiple delegates, and a delegate may be assigned to multiple delegators.

To assign a delegate to a user, do the following:

  1. In Accounts, select Users and select a user from the list.
  2. Select one or more User and click Select as delegate and click Apply.
  3. The delegate User ID displays in the Delegates list.
  4. Click Save to save the selected delegate.

When a delegate logs on to a device using Follow-You Printing, the document name for the delegator’s job is preceded by the delegator’s User ID (e.g. [delegator user_id] document_name). All print jobs released by a delegate are charged to the delegator. If color quota is enabled, the delegator’s color quota is applied, not the delegate’s. If billing codes are used, the delegate must have access to the delegator’s billing codes, otherwise the job will be charged to the delegate’s billing codes.

All transaction records are charged against the delegator. The identity of the delegate releasing the print job on behalf of the delegator is displayed in the transaction record.

Delegate printing is not supported on Linux print servers and Mac clients.
