Use validation to define number of documents in a folder

Use the validation rule to define the number of documents in a folder. A message displays when the validation fails. With the validation rule, you can set conditions such as, "The folder must have at least 10 documents."

Important The validation rule only runs for the Document Review activity; it does not run for the Validation activity.

  1. Select the Folder Type for which to create the validation rule.
  2. Click the Validation tab.
  3. Click Yes for Include Subfolder, if you want to include subfolders when evaluating validation rule. (Default: No)

    For example, when you choose to include subfolders and select number of documents for validation, the validation adds number of documents in the folder where the rule is defined and number of documents in the subfolders when evaluating the rule.

    Note If a subfolder fails the validation, the validation for the parent folder also fails, even though the parent folder might meet the rule requirement.

  4. Enter a Name for the validation rule.
  5. On the Type list, select Number of Documents.
  6. To configure the Number of Documents rule:
    Number of Documents (N)

    Enter or select the number of documents that the folder should contain.

    At Least/At Most/Exactly N documents

    Select the condition to associate with the number of documents:

    • At Least: Folders must have at least the specified number of documents.

    • At Most: Folders must have no more than the specified number of documents.

    • Exactly: Folders must have the exact number of documents specified.

    Document Type

    Define the type of documents to check:

    • Any: Select this option to check for a number of documents of any type.

    • Specific: Consume a document type to check for a number of documents of this particular type.

    Failure Message

    Enter the text to display when the validation fails.
