Set up activity notification for a process

  1. On the Extended Properties page of a process, click the Activity Notification tab.
  2. To send an email notification to resources when an activity becomes pending in the work queue, click Yes for Send Email to Usable resources when Activity Pending.
    The other options are enabled.
  3. Set the subject, message and URL in the email as either a variable or plain text. To specify the subject of the email, do one of the following:
    • To provide a dynamic value, consume the variable in the Subject box.
    • To set the subject as plain text, click the Static icon Static and enter the subject of the email.
  4. Set the message and URL for the email.

    The URL is a link to the location of the web page where the user can take and complete the pending activity.

  5. To append the name of an associated file to the URL, click Yes for Append Associated File.

    Note The associated file is configured on the General tab, in the Associated File Path property of the activity.

  6. To define the recipient of the email, select either option:
    • Group Address: Only sends email to the assigned resource group (not individual members within a resource group) and any additionally assigned resources.

    • Group Member Addresses: Sends email to each member within the assigned worker group and any additionally assigned workers.

      Note Assigned resources and groups are usable resources allocated to an activity. Email addresses are configured at the time of configuring a resource. See Create a resource and Create a group resource.
  7. Click Save.

    The System saves the activity notification settings for process and activity.

    Note At runtime, when a job is created on the process, an email is sent to the usable resources of the activity for which the activity notification had been enabled.
