Create separation profiles

  1. On the Home page, click System Settings > Separation Profiles.

    The Separation Profiles page appears.

  2. Click Add Add.

    The Separation Profile page appears.

  3. Configure a separation profile for a document or folder.
    • Document: Use document separation settings to do the following:
      • Scan all pages into a single document.

      • Separate the pages into documents with a fixed number of pages.

      • Separate the pages into documents when a bar code is found.

    • Folder: Use folder separation settings to automatically create a new folder when a page is found with a bar code that matches the separation criteria.
  4. Enter a Name for the separation profile.

    The name cannot be more than 50 characters.

  5. Optionally, add a Description for the separation profile.

    The description cannot be more than 255 characters.

  6. Select one of the following document separation methods.
    • Bar Code and Patch Code: Separates document based on a particular bar code/patch code being detected. See Use the bar code option and Use the patch code option.

    • Fixed Sheet: Separates document based on the number of sheets in a document. Use this option if the number of sheets in a document is fixed. The Fixed Sheet option is only available for documents. See Use the fixed sheet method.

    • Manual (default): Separates the documents manually.

  7. Click OK.

Use the bar code option

Bar code separation divides a batch of images into separate documents at separation sheets based on a particular bar code being detected.

  1. In the Bar Code group, select Yes for Bar Code Separation to allow document separation based on bar code being detected.
  2. To separate documents based on specific bar code types, add the needed bar code types from the Available box to the Selected box. (Default: Code 39)
    Note You can select multiple bar code types. See Bar code types for more information on different bar codes.
  3. To enable checksum stripping for Codabar, Code39 and Interleaved 2 of 5 bar code types, click Yes for Bar Code Checksum. (Default: No)
  4. Create a new document when a bar code type found, value changes or value found.
    • Type Found: Creates a new document when TotalAgility detects a specified bar code type.

    • Value Changes: Creates a new document when the bar code changes.

    • Value Found: Creates a new document when the bar code matches the value in a regular expression. If a form has multiple pages and each page contains a bar code, each bar code indicates the form name and the page number. For example, Form 1040 - Page 1. By default, TotalAgility separates each page into a separate document. To separate the documents correctly, set the value as follows:

      1. Value Search Text: Page 1$
      2. Search Text Uses Regular Expression:
        • Click Yes to provide a regular expression that follows standard JavaScript regular expression syntax.
        • Click No to provide the exact value in the Value Search Text box.

      When the document is run through the system, the document is separated correctly, only when the bar code value ends with Page 1.

  5. To use bar code value for a folder name, click Yes for Set Folder Name Custom Text from Bar Code.

Use the patch code option

Patch code document separation divides the batch into documents at scan time by analyzing each page of the batch for a patch code separator sheets. TotalAgility divides the batch into documents at patch code separator sheets. By default, the system deletes the patch code separator sheet, however you can configure the separation profile to retain this sheet.

When single document processing is enabled, patch code separation converts each separated document into an individual batch, then automatically closes the batch before separating the next document.

  1. In the Patch Code group, click Yes for Patch Code Separation to allow separation of documents using the patch codes.
  2. Select the Patch Code Type for use as document separators when scanning. See Patch code types for the patch codes supported by TotalAgility.
  3. To automatically delete the patch code separator sheet, click Yes for Delete Patch Code Separator Sheet (Default: No). This means that the system retains the separator sheet.

Use the fixed sheet method

Fixed page document separation divides all the images of the document into documents at scan time by counting the images and creating a new document for a set number of images. For example, if every document in the extraction group has exactly two pages, use the fixed sheet option.

When you enable single document processing, fixed page separation converts each separated document into an individual document and automatically closes the document before separating the next document.

Enter or select the number of Sheets per Document.
