Configure the license statistics

  1. On the Home page, click System Settings > Settings.

    The Settings page appears.

  2. Click the License Statistics tab.
    The primary license details appear:

    • Serial Number: The serial number provided when you installed TotalAgility.

    • System, Station and Volume Licenses.

  3. To receive alerts when a certain number of primary licenses are consumed, in the License Escalation Thresholds group, set the license thresholds. Click Yes for the license type and enter the threshold value. For example, to receive an alert when 900 of 1000 licenses are consumed, set the threshold to 900.
    1. Click Yes for the license type. (Default: No. This means that no alerts are sent.)
    2. Enter the threshold value. For example, to receive an alert when 900 of 1000 licenses are consumed, set the threshold to 900.

    Note You cannot set thresholds for backup servers.

  4. To reactivate a primary or backup server license, see Reactivate the license in TotalAgility.
  5. Click Save.

    When the "Monitoring" system task runs, the system checks the current usage for each license type.

Additional Information

If the current usage exceeds any of the thresholds set, the License Volume Threshold Alert is raised, which in turn creates a new job for the process map configured. See Exception maps and initialization parameters.

When a license type exceeds the threshold, the system automatically starts using the reserve licenses. If users log on with a reserve user license, a message appears that a reserve license is in use. If licenses run out, a message appears to inform the user that licenses are not available preventing the user from logon.

Note The reserve licenses are only available for an on-premise environment.

If the volume license runs out after you open a Scan activity, you can still create a job, complete the activity, and save any scanned pages. This can happen if the license has only one page of volume left, and you scan more than one page, or, if after you enter the activity and another user completes an activity, the available volume is reduced to zero.

You can send an alert in the following scenarios:

  • When the sum of the one-time use and annually recurring transformation volume reaches the threshold defined in the Transformation Page Count thresholds.

  • When the sum of the one-time use and annually recurring imaging volume reaches the threshold defined in the Imaging Page Count thresholds.

  • When the sum of the one-time use and annually recurring reserve transformation volume reaches the threshold defined in the Transformation Page Count - Reserve thresholds.

  • When the sum of the one-time use and annually recurring reserve imaging volume reaches the threshold defined in the Imaging Page Count – Reserve thresholds.
