Configure a SharePoint Add Item Activity

  1. Add a SharePoint Add Item activity to the map. See Add an activity.
  2. On the Extended Properties page of the SharePoint Add Item activity, click the Configuration tab.
  3. Consume the SharePoint Site to get the location of the SharePoint server and the TotalAgility Web Service URL.
  4. From the Select Target list, select the location to upload the document, such as Document Libraries.
  5. To upload or check a document in to the subfolders of a selected library, specify the Relative Path using a static or dynamic value.
  6. To specify the location of the source document to add to the SharePoint site, use either of the following methods:
    • To enter a static value, click Static Static and enter a value in the Source Document box.

    • To enter a dynamic value, consume a document variable in the Source Document box and do the following:

      1. Click Yes to Specify File Type. (Default: No)

      2. On the Source File Type list, select a file type to save the document in that format, such as BMP, CSV and TIFF. See the supported mime types.

  7. To configure TotalAgility to automatically retrieve the item identifier from SharePoint, consume the variable in the Return Value Unique Identifier box.
  8. To allow the document to be checked in to SharePoint, for Check-In, click Yes.
Note Only select this option if the document is previously checked out to your computer.
  9. To declare a document as a record, click Yes for Declare as Record.
Once you declare that a document is a record, TotalAgility adds the document to the SharePoint record center.

Note The Declare as Record option is only available for a local SharePoint site.

  10. To overwrite a file with the same name in SharePoint, select the overwrite option.
However, if SharePoint has versioning enabled, a new version of the file is added instead of overwriting the existing file.
Note This option is only available for a local site; it is not available for an online site. If you do not select the overwrite option and TotalAgility finds a file with the same name on SharePoint, the job is suspended without overwriting or adding a file.
  11. Map the metadata using static or dynamic values.
    • You must map all the mandatory fields.

    • If TotalAgility finds insufficient privileges, incorrect parameter values, or a mismatch between the selected location and the TotalAgility Web service, the item is not added and the job is suspended. Error details appear in the event Log.

Note As part of the metadata mappings, if you use the SharePoint column types listed below, do the following:
    • Lookup: On the Mapping column, click and select an item from the drop-down list or map a variable or provide an inline value.

    • MultiLookup: On the Mapping column, click the list box for the metadata, and from the drop-down list, select the check boxes or map a variable or provide a single inline value.

  12. Click Save.
