Configure a Scan activity

  1. Add a Scan activity to the map. See Add an activity.
  2. On the Extended Properties page of the Scan activity, click the Configuration tab.
  3. To define a target folder or document to store the scanned documents and folders, consume the variable in the Target Document/Folder box.

  4. To store the new documents and folders for scanning, consume the variable in the New Document/Folder box.
    Note
    • The cSF client does not support the New Document/Folder field.

    • For other information, see the note in Step 3.

  5. To use a classification group in a Scan activity, do the following under Classification Group:
    1. Click Yes for Use Classification. (Default: Yes)

      If you do not add a classification group, users cannot change the document type.

    2. Select either option for Inherit from Process:

      • Yes: Inherits the classification group from the process. At runtime, a list of document types belonging to the classification group at process level appears. (Default: Yes)

      • No: Consume a Classification Group to change the classification group specific to this activity.

      Note If you do not consume a particular classification group for the activity or inherit one from the process, or if you select to inherit the classification group from the process and have not associated a classification group at the process level, the system displays a message. You can save the process but cannot release it until the configuration is complete.
  6. To configure a separation profile in a Scan activity, consume the separation profile in the Separation Profile box. See Create separation profiles.
  7. To configure a Scan/VRS profile in a Scan activity, consume the Scan/VRS profile in the Scan/VRS Profiles box.
    Note The System takes the first profile as the default profile. To remove the default profile, click Delete. To change the order of profiles, use the Up and Down buttons. See Create a Scan/VRS profile.
  8. In the Scanned Image group, select either option for Inherit from Process:
    • Yes: Inherits page renditions from process. The rendition fields for the activity become unavailable. (Default: Yes)

    • No: Allows you to specify whether to save input image as page rendition. To save input image as page rendition, click Yes for Save Input Image as Page Rendition (default: No) and then select a Page Rendition from the list.

  9. To specify whether to inherit page renditions from system, in the Page Rendition group, select either option for Inherit from System:
    • Yes: Inherits page renditions from system. The rendition fields for the activity become unavailable. (Default: Yes)

    • No: Displays the Default Displaying Image option where you can select the page rendition to appear as default.

  10. In the Rescan/Fixing Data group, do the following
    • To auto-navigate to next rejected page or document on rescanning, click Yes for Auto-Navigate to Next Rejected Page/Document. (Default: No)

    • To only complete the activity when no rejected pages or documents are found on rescanning, click Yes for Complete Only When No Rejected Pages/Documents. (Default: No)

  11. In the Allow Modification of Imported Documents group, select either option for Inherit from Process:
    • Yes: Inherits the setting from process.

    • No: Displays the following settings to allow modification of imported documents.

      Merge or Split Document and Delete Page Click Yes to enable merging or splitting document and deleting pages.
      Rotate Image and Reorder Page Click Yes to enable rotating images and reordering pages.
      Note To keep the original copy of the documents that are imported but not scanned, select No for these properties.

  12. Click Save.

    At runtime, when you take the Scan activity, the generated Scan - New Activity form appears.

    The following instances take place at runtime depending on the settings configured.

    If you do the following: The System does the following:
    Set the instance ID for a target folder and ignore the new document instance ID Scans the new document and updates the document variable with a new instance ID stored in the target folder.
    Set the instance ID of a target folder but not map a new document Scans multiple documents and stores them in the target folder.
    Not set the instance ID for a target folder but map either a document or folder variable Fails to scan the document or folder, because the target folder does not have a valid instance ID.
    Set the instance ID for a target document but not set an instance ID for a document or folder Adds pages to the target document.
    Not set the instance ID for a target document Fails to scan the document, because the target needs a valid instance ID.
    Map a target folder without an instance ID and map a folder variable Creates a subfolder in the target folder and updates the folder variable with a new instance ID. The scanned documents are stored in the subfolder.
    Not map the target folder or document and map a new document Stores the scanned documents in a new folder of the default folder type and updates the document variable with an instance ID.
    Not map the target folder or document and map a new folder Scans multiple documents to a new folder of the specified type and updates the folder variable with an instance ID.
    Not map a target folder or document and do not map a new document or folder Does not allow the scan activity to proceed.
