File menu

The File menu in Power PDF includes the following groups and settings.

Note The entry to Advanced Edit Mode is moved to the left of the Edit tab. This mode lets you edit the PDF much more freely. An alternative is Convert Assistant, which can be used to convert PDF documents to an editable format, make the changes in the target application, and then create a new PDF file.

Info

Select Description to see file properties. Click Properties and the drop-down item to make changes.

Select Security to see the current security permissions. Click Document Protection and the drop-down item to make changes.

New

When you select a source for the new PDF more sources and options are available:

  • From File: Use existing files to start your work, such as the following options:

    • Create a PDF from a single file: Creates a new document based on a selected file. A wide range of picture (.bmp, .gif, .jpg, .jpeg, .jpf, .jpx, .jp2, .j2k, .j2c, .pcx, .pcd, .psd, .png, .tga, .tif, .tiff, .wbmp) and document (.pdf, .dita, .dital, .shtml, .doc, .docx, .ppt, .pptx, .xls, .xlsx, .rtf, .ps, .eps, .txt, .xps, .msg, .eml) formats are supported.

    • Create PDFs from multiple files: Start Kofax PDF Create Assistant to convert selected files into separate PDF documents (See PDF Create Assistant for details).

    • Combine multiple files into a single PDF: Start Kofax PDF Create Assistant to convert the selected files consecutively into one PDF file (See PDF Create Assistant for details).

    • Overlay multiple files into a single PDF: Start Kofax PDF Create Assistant to overlay the selected files into a single PDF file to combine a watermark, a header, and/or a footer with another document. See PDF Create Assistant for details.

  • Blank PDF: Starts a blank, unnamed document with Advanced Editor active. Advanced Editor basically works the same way as Office applications, for details see Advanced Edit mode.

  • From Clipboard: Inserts the content of the Clipboard into a blank, unnamed PDF document, keeping text formatting, tables, and pictures.

  • Create PDF Portfolio: Starts Power PDF preloaded with a page introducing portfolios, and with the PDF Portfolio panel active. A PDF Portfolio may contain multiple files grouped together within a single container PDF file. For details see Manage PDF portfolios.

  • From Scanner: Uses a scanner to import paper-based documents, you may select from the following options:

    • Create new PDF from scanner: Invokes the scanner interface, or uses predefined settings and saves the scan job as a new PDF document. For details see Create PDF files from a scanner. If there is no scanner set up yet, then starts Scanner Setup Wizard, which guides the user in the scanner setup process.

    • Append new scan to current file: Invokes the scanner interface, or uses predefined settings and appends the scan job to an existing PDF document. For details see Create PDF files from a scanner. If there is no scanner set up yet, then starts Scanner Setup Wizard, which guides the user in the scanner setup process.

  • From Web Page Converts the specified web page to an unnamed PDF document. See Create PDF from a web page for details.

Open

Files can be opened from various locations. Select one of the following sources, then select one or more files on the right:

  • Recent Documents: Lists the documents opened recently.

  • Recent Places: Lists folders visited recently.

  • Revisions: Lists all revisions of the opened document, saved with the command Save Revision. Saved states are listed on the right, ordered by the time of creation, displaying the date, time, size, status, and the label attached when the revision was saved. The chain of past states breaks if the document is renamed. To have a clean copy of a document with no interim states, save it with a new name. Revision storage can be disabled by an administrator at the time of installation, so saving and opening revisions may not appear at all.

  • Revert to last save: Drops all modifications made since the last save.

  • DMS connectors: All available Cloud storage sites and DMS connectors (in Power PDF Advanced only) are listed between Revert to last save and Browse. For the list of the supported document management systems see the technical specifications.

  • Browse: Starts the Windows Open dialog box to open one or more files.

Click the Pin to list tool on the right of any list item (file or folder) to pin selected files or locations to the top of the list.

PDF files are opened directly, other files are converted to PDF during loading, which may take some time. To add non-PDF files, select Browse and then All Files under File Type. To see a list of supported file types, open Create Assistant and click on Supported File Types.

When multiple files are loaded, each appears in a separate program window.

You may drag-and-drop one or more of the supported files onto an empty Power PDF window to open. (If you drag-and-drop files onto a Power PDF window with a document already opened, then the files will be used as attachments or stamps.)

Save

Save changes to the currently open PDF file.

Save As

Save changes to the currently open PDF file under a new name. (Pending changes will not be saved into the original document, but only into the document under the new name. To retain changes in both documents, save the source document explicitly before using Save As.)

Files can be opened from various locations. Select one of the targets on the left, then select one of the following options on the right:

  • Computer: List Current Folder and Recent Folders used to select from, then displays the classic Windows Save as dialog box.

  • Save revision: Saves a new revision into the same file. Use Save revision to save the current PDF document and apply a label to it, so you can return to the document in this state, using Open Revision. This feature can be disabled by an administrator at the time of installation, so it may not appear..

  • DMS connectors: All available Cloud storage sites and DMS connectors (in Power PDF Advanced only) are listed between Save revision and Browse For the list of the supported Document management Systems see the technical specifications.

  • Browse: Starts the Save As dialog box to specify a location, File name and Save as type.

Print

Starts the Print dialog box with the usual pre-printing choices and special features:

  • Name: Click the arrow on the right and select a target for printing. You can print to a physical printer or to a virtual printer. Use File > Options > General > Printer to set the default preference, either access the default printer or the last used printer by default.
  • Print Content: Click the arrow on the right and select one of the following content options to print:

    • Document and Comments: Prints everything.

    • Document Content: Prints the document without comments.

    • Form fields only: Prints only forms.

  • Imposition: Used to prepare a PDF for submission to a printing house. Starts the Imposition dialog box, where you may change the layout (i.e. size, binding, gutters, marks, printing order) for the content, rebuilding it into a new document. For detailed instructions see Imposition.

Click OK to send your current document to the selected printer.

Export

Power PDF offers a wide range of file types for exporting your current document. Almost all the targets have settings so you can influence the export.

Select one of the targets on the left, then select on of the options on the right:

  • MS Office: Leads to Word (document or form) Excel, PowerPoint or XPS document.

  • Image format: Offers TIFF (single or multipage), JPEG, JPEG2000 and PNG.

  • Text format: Offers simple text or Unicode text—use the latter for text with less common accented letters or other alphabets.

  • PDF format: Offers various PDF types: Searchable PDF, Searchable MRC PDF, MRC PDF, PDF/A, PDF/X, PDF/E and Grayscale PDF. For details on PDF standards see Linearized PDF.

  • Wordperfect document: Starts the classic Windows Save As dialog box with .WPD set in file type.

Share

Power PDF offers the following methods for sharing files:

  • Fax via e-mail: Starts the Fax dialog box. Provide recipient information and click Send to forward your current document to a fax machine via e-mail. See Fax via e-mail for details.

  • E-mail: Attach your current PDF document (or selected pages from it) to a new message in your default mail application. The file name becomes the subject. Modify that as desired, add recipients and optionally add a message before sending.

Close

This closes the current document; if it has unsaved changes, you are prompted to save them.
