Spell check annotations

Spell checking is performed on texts entered as annotations to PDF documents. Checking can be run on existing annotations in PDF files you receive. The following types of texts can be checked:

  • Notes and replies

  • Markup operations (Insert Text, Replace Selected Text, Add Note to Selected Text)

  • Text box type annotations (Text Boxes and Callouts)

  • Text entered into the PDF by the Typewriter tool until the document is saved.

Spell checking is not available for the real PDF content, including text entered with the Edit Object tool, headers and footer texts and Bates Number entries.

Words not in the current dictionary are flagged with a wavy underline as you type, if you enabled this in File > Options > Spell Check. Under preferences, you can set a color for the underlines (by default this is red) and select which of the supplied dictionaries should be used for all spell checking.

You can also explicitly run spell checking on all comments in a document and edit dictionaries.

Start and conduct a spell check

  1. Click Comment > Annotate > Check Spelling and select Spell Check from the drop-down list (or press F7).

    The Check Spelling dialog box appears.

  2. Click Start to ignite the spell checking process.

    Note Text type annotations with replies are spell checked starting with the oldest entries and finishing with the most recent.

    The first suspicious word displays in the Word not found box.

  3. Proceed with any of the following steps:
    1. To leave the word intact and move to the next suspicious word, click Ignore.
    2. To leave the word intact and exit spell checking, click Ignore All.
    3. Select any preferred item in the Suggestions list, then click Replace or Replace all to replace only this occurrence of this word, or replace it everywhere in the document.
    4. Select a dictionary in the Add to list, and click Add to append the word to that dictionary and keep it for future use.
  4. Click Done to close the dialog box

Edit a dictionary

  1. Click Comment > Annotate > Check Spelling and select Edit Dictionary from the drop-down list.

    The Edit Custom Dictionary dialog box appears.

  2. Select a dictionary in the Dictionary list.
  3. Select which word list to display:
    • Added Words – The list displays added words to supplement the word list in the supplied dictionary.
    • Excluded Words – The list displays excluded words, which are no longer considered valid.
  4. Type in a single word and click Add to add it to the list.
  5. Select a word in the list, and click Delete to remove it.
  6. To modify a word, select it, edit in the Entry box and click Change.
  7. Click Done to close the dialog box
