Tags

You can create a new tag or add an existing tag, and also view the list of tags that have already been created.

Create a tag

  1. Navigate to System data > Tags.

    The Tags list page appears.

    The Tags page displays any existing tags that are already created for items such a process, forms and extraction group. See Tag an item.

  2. To create a new tag, click New.

    The New tag dialog box is displayed.

  3. Enter the Tag text.
    Note
    • The tag text must be unique across the system with a maximum of 30 characters.

    • A tag is a free text and can contain spaces.

  4. Click Save.
    The tag appears on the Tags list page.
    Note You cannot edit the tag.
  5. To display a specific tag from the list, enter the name of the tag in the Search field and click .
    You can also search for items based on the associated tags.
  6. To delete a tag, on the context menu of the tag to delete, click Delete.
    You cannot delete a tag if it is already in use.

Search for an item based on tags

You can search for the items based on one or more tags associated with the item.

  1. Navigate to System data > Tags.

    The Tags list page appears.

  2. Click Search.

    The Tag search dialog box is displayed.

  3. Click Add.
    The Add dialog box displays the list of tags.
  4. Select the required tags and click Done.
    The selected tags appear in the top panel.
  5. Click Search.

    The items that are using the selected tags are displayed under Results. The items listed in the search results are displayed with the item name as a hyperlink, and item type. You can click the hyperlink to directly open the item to view and also modify the associated tags.

  6. To perform search on a specific tag so that you can directly view the list of all items that use the tag, do the following:
    1. Navigate to the Tags list page.
    2. On the context menu for the tag to perform search, click Show tagged items.

      The Tag search dialog box displays the search results with list of items using the specific tag.

  7. Click Close to close the Tag search dialog box.
