Use this window to set preferences for the display of external fields in the Validation module.

Use dropdown if the number if values does not exceed:

Enables the use of a list if the number of available values is fewer than specified. This option is intended for use with relatively short lists because setting a higher number may have a negative impact on performance. Note that when using the text window, you can type ahead to search for values and include multiple values delimited by a comma. The dropdown list is limited to single value columns and you cannot search for an entry by typing ahead.

The default value is 10, and a value of zero makes the list unavailable.

Note This option is not supported or available for Enterprise Keywords or Managed Metadata columns.

Maximum number of suggestions to display:

Sets the maximum number of suggestions to retrieve from the data source. The default value is 250.

Update from SharePoint

The Update button forces Kofax Capture to refresh its information from the data source. This may be necessary because the external fields are not constantly connected to the data source. Changes made to the column after creating the associated external field type are not automatically reflected in Kofax Capture. For example:

• If a managed metadata column's term set was changed, Kofax Capture would be unaware of this change and continue to validate the data against the previous term set.

• If a new value is added to a choice column, Validation would not be aware of this addition since choice column values are stored during setup.
