Specify if fields are active or inactive

Most fields are active by default. However, you can manually adjust field activation for all fields except image identifiers. You can do this on the field profile level and the field definition level:

Note that you can also turn off the interpretation of line item tables in the document profile.

Example of using an optional field

You may want to capture a single item field if it is found on the documents, but not care if it is missing on documents from specific senders. Select Optional for the field in Optimize when you learn the documents for those senders. Do not select Optional in the field profile.

The field will be interpreted on all documents, except that it if is not found on documents from those specific senders, the field status will be set to Complete.

Example of using an inactive field

You may want to interpret a certain single item field only on the documents from one sender. Select Inactive in the field profile for this field. When you learn the document for the sender in Optimize, deselect Inactive for the field.

The field will only be used on documents from that sender.

Note Starting with Kofax ReadSoft Entrance 5-6, an important change was made compared to previous versions: Inactive amount fields, which were previously transferred with the value 0.00, now contain a null value like other kinds of inactive fields, such as text fields.

To specify the activation for a field profile in Manager (see also Deactivating a field profile):

  1. Open a document profile and then open a field profile.
  2. Select the Options settings.
  3. Select Optional and/or Inactive in the Activation settings.

To specify the activation for a field definition in Optimize:

  1. Start an Optimize session.
  2. Select the field you want to adjust in the Data objects list in the Learning dialog.
  3. Adjust the Optional and/or Inactive settings in the Field learning dialog.

To specify the activation for a line item field in Optimize:

  1. Start an Optimize session.
  2. Select the line item table in the Data objects list in the Learning dialog.
  3. Right-click the cell containing the line item field you want to adjust and select Properties.
  4. Adjust the Must exist setting in the Line item field definition dialog.
