Text Definition Window

Use the Text Definition window to customize the endorser and/or annotation string and set the following:

  • Prefix (selection of text and date format)

  • Location of the string relative to the top and left of the screen

  • Number of digits in the page counter

  • Start number for the page counter

  • Step value (increment or decrement values) for the page counter

Prefix

Sets an optional sequence of characters to precede the rest of the imprinting string. Generally, the prefix consists of a text string and a date. If no prefix is manually entered into the Prefix box, an empty string is returned. When creating the prefix, use only the following characters:

  • space

  • 0-9

  • % - _ /\ # . ] [ () = + < > &

  • A-Z

  • a-z

You can manually enter the text string or date to be used during annotation, or select from the Prefix list to insert pre-formatted date information into the prefix string:

  • YYYY-MM-DD

  • DD-MMM-YY

  • DD MMM YYYY

  • MMM/DD/YYYY

  • MMM/DD/YY

  • MM/DD/YYYY

  • MM/DD/YY

  • MMM DD, YYYY

  • MM.DD.YYYY

  • MMM. DD, YY

  • YYYY

  • YY

  • MMM

  • MM

  • DD

  • YYDDD (Julian)

Once set, the contents of the prefix are identical for every endorsing and annotation occurrence within a batch. The counter, if enabled, is always printed following the prefix (base) string. The number of allowable characters varies by scanner. Exceeding the maximum string length results in the string being truncated to the maximum length, and an audible alert occurs.

Because the endorser/annotation string consists of a text prefix and a counter, consider their combined length when setting the string length.

Top and Left Boxes

Use the Top and Left text boxes to specify the vertical and horizontal position of the endorser/annotation text string. Use the Units group near the edit boxes to set text positioning values in inches, millimeters, or pixels (dpi dependent). The default unit of measurement is inches.

In the Top text box, set the distance of the endorsing and annotation string from the top of each page. The default and minimum value is zero, but the maximum value is dependent on the paper size. Whole numbers are required when entering pixels and millimeters, but when values are in inches, you can enter them in .01-inch increments.

In the Left box, set the distance of an annotation string from the left edge of a page. The default and minimum value is zero, but the endorsing string is never printed less than 20 mm from the left of the page. The maximum is dependent on paper size. Whole numbers are required when entering pixels and millimeters. When values are in inches, you can enter them in .01-inch increments. The Left edit box is unavailable unless annotation is selected.

Not all scanners support selection of a top and/or left position for the endorser string. Refer to your scanner's documentation for more information.

Page Counter / Enable

In the Page Counter group, set the page counter, specify a starting number for your automatic endorser/annotation counter, set the number of digits to use, and determine the amount by which the counter is incremented.

Select the Enable check box to activate the Page Counter feature.

Digits

The page counter length values depend on the scanner and the installed endorsing hardware. Select None if you do not wish to increment the counter.

Start at

Sets the counter value used at the start of the first batch. The default is 1.

Step Value

Select from the Step Value list to specify how the automatic endorser/annotation counter is incremented on every page. Ideally, the counter should be set based on the documents being scanned, how the batches are organized, and specific user needs.

Sample string

The sample text shows how imprinting text will look with any optional date stamp or counter expanded. The current date is used.
