Document Tracking service

Document Tracking allows you to monitor a document passing through the ShareScan workflow.

The service is located on the Configure services tab under the Connector services section of the ShareScan Administration Console.

If the Document Tracking service is enabled for any of the Connector profiles, an icon is added to the first column of the row for that Scan Job in Activity Tracking, indicating that the Document has been tracked. Hovering over the attachment icon displays the name and location of the tracked document. Double-clicking the attachment attempts the ShareScan Administration Console to open the document, if it has access to the location of the document. If the location cannot be accessed, an appropriate message indicating the error is displayed.

Configuring Service: Document Tracking:

  • Checked (Yes): Allows a device to use the Document Tracking service. This option creates a black and white PDF file, without encryption or searchable text information. The file name for the document is added to the Activity Tracking log.
  • Unchecked: The device cannot use the Document Tracking service. All the fields and properties are disabled.

Tracking copy output

  • Force PDF output: the tracking copy is always prepared as a PDF - legacy behavior.
  • Keep original file format: no file conversion is involved in creating the tracking copy. This method is usually faster and saves system resources.

Folder location

The full path and file name for the folder. The location must be in the current Windows domain or in a trusted Windows domain (it can be even on the local machine where the ShareScan Manager is running, but you have to make it a shared network folder with the proper access rights. Click the button on the far right side in the folder location value area to select file location.

The Browse for folder window appears that allows you to browse the network for a shared folder. If you type in a folder location, make sure you use a UNC format (\\servername\foldername) – a mapped drive format cannot be used.

Credentials

You must have access rights to the specified location. Enter the following credentials to access the Activity Tracking folder:

  • User name: User's login name.
  • Password: User's password (hidden characters).
  • Domain: The domain associated with the user's login name and password.

Select the Yes check box to configure this option.

Folder Location

Click the '...' button to select a folder to store the ... files in.

Add pattern to content security

This enables you to examine whether a scanned document would be recognized by the OCR service based on custom created regular expression/wildcard patterns. Create a custom pattern containing the desired word or phrase and configure the logical connection between them. Type some random text in the blank test window containing the preset word or phrase and click Test to see if your pattern structure will be accurate. Functional pattern structure is marked by green color.

Click Edit patterns to launch the Edit content security patterns window.

The following data types are available in the Security patterns table:

  • ID: identification number of the pattern
  • Name: name of the pattern; it can be renamed
  • Type: can be Regular expression or Wildcard expression
  • Pattern: displays the pattern of the selected sample type (specified in Create content security pattern window)
  • Operation: shows logical relation between individual patterns; can be AND or OR for example, (2 AND 1) OR 3 (in case pattern order is modified by Move up or Move down buttons in this example).
  • Edit: click the '...' button to launch the Create content security pattern window.

    The Regular expression editor / Wildcard expression editor (depends on which one you selected in Type list) provides the following configurable options:

    • Samples: choose the required sample from the list.
      • One word - full match - case sensitive
      • One word - full match - non case sensitive
      • One word - partial match - case sensitive
      • One word - partial match - non case sensitive
      • One word - start with - case sensitive
      • One word - start with - non case sensitive
      • One word - end with - case sensitive
      • One word - end with - non case sensitive
      • Bank account number (3x8)
      • Bank card number (4x4)
      • MICR routing number (not available in Wildcard expression editor)
      • International Bank Account Number (IBAN) (not available in Wildcard expression editor)
    • Name: name of the regular expression (equal to sample name)
    • Regex/Wildcard pattern: displays the pattern of the selected sample type (e.g.:(^|\s)+WORD+(?=\s|$|[.,!?;]) for One word - full match - case sensitive) Type your word or phrase replacing WORD, and see if it is marked by green in the pattern window if written there. Pay attention to the case sensitive/case insensitive options.

  • Add: adds a new security pattern to the list
  • Move up: moves selected security pattern up one line in the list
  • Move down: moves selected security pattern down one line in the list
  • Remove: removes selected security pattern from the list
  • Remove all: removes all security patterns
  • Test: click Test to see if your pattern is functional

The following wildcards can be used:

  • * : substitute any number of characters
  • ? : substitute one character
  • # : substitute one-digit number
  • $ : turn off lowercase/uppercase sensitivity for phrase

Enable connector profile selection

Select the Yes check box to enable connector profile selection.

  • Connector profile for Notification: click the '...' button in the << selected connector profile >> field to launch the Content based security destination dialog. Choose a connector profile from the list for processing and click OK.

Make sure you configure an express connector profile with the corresponding services, otherwise a red warning message appears to inform you of this requirement.

If you use Document Tracking with a Watcher routing workflow, the tracking copy always has the same file format as that of the routed document, regardless of your tracking copy output choice.
