Configure connectors

A ShareScan system uses the following types of connectors:

  • eCopy connectors included with ShareScan, such as mail and fax connectors for Microsoft Exchange and SMTP via LDAP.
  • The following connectors are available for download or purchase, depending on your version of ShareScan: Quick Connect; Open Text Fax Server, RightFax Edition; Microsoft® SharePoint®; iManage WorkSite; Open Text Document Management, eDOCS Edition; Open Text Content Server; and OpenText Documentum.
  • Third-party connectors, developed using the ShareScan Software Development Kit (SDK). Unlike Kofax connectors, third-party connectors do not have the supports-ExpressWorkflow="true" entry in their services.xml file by default, hence the Administration Console is unable to render the User data entry check box in the profile editor property grid. To enable the pre-scan appearance for the system forms in third-party connectors, follow these steps:
    • Select PostScan only radio button.
    • Click the Save Current Profile button to save the profile -> the system form appearance check boxes become enabled.
    • Select or clear the check boxes.
    • Click the Save Current Profile button to save the profile.
    • Select the PreScan only radio button (if you want pre-scan behavior) and click the Save Current Profile button to save the profile > the three check boxes are still disabled, but their value remains as previously set.

In addition, ShareScan supports Business Automation services that enable connectors to use Image Enhancement and Barcode Recognition.

You configure connectors by creating connector profiles that specify various settings, such as the appearance of the connector’s button and the image format that you want to use during scanning. You can create multiple profiles for each connector and you can activate each connector profile on multiple devices.

Optimal performance is not guaranteed if you configure a high number of connector profiles. For details, see the eCopy Connector profile sizing guide – Tech note document.

If you have multiple ShareScan Manager computers in your deployment, it is recommended that you always use the same instance of the Administration Console to add, modify or remove connector profiles regardless of whether you are working in a cluster environment or not.

If Windows Integrated authentication is specified for ShareScan database connection with those connectors that support access to eCopy Address book database, the account running the ShareScan Manager service and the user currently running the ShareScan Administration Console must be granted the necessary permissions to access the eCopy Address book database.

These connectors are the following:

  • Scan to Exchange Mail
  • Fax via Exchange
  • Fax via SMTP
  • Scan to SMTP via LDAP

Follow these steps to configure eCopy Address Book for use with Windows Integrated Authentication:

  1. Select a connector that supports access to eCopy Address book database in the Administration Console.
  2. Select the Address book tab in the Properties dialog.
  3. Select the Enable eCopy address book check box to enable the Settings and Manage sections for specifying the database.
  4. In the Settings section, click Database... and select Create... to launch the Create address book database dialog; specify the SQL server name, database name, user ID and password and then click Create.
  5. In the Settings section, click the Database... list and select Choose... to launch the Data Link Properties dialog.
  6. In the Connections tab, specify the server name in the 1. Select or enter a server name list.
  7. Select the Use Windows NT Integrated security radio button in the 2. Enter information to log on to the server option.
  8. Select the database created Step 4 in the 3. Select the database on the server dropdown list.
  9. Click Test Connection.
  10. Click OK, if test connection is successful.
  11. Click OK on the eCopy Address Book warning message.
  12. Click OK on the Properties dialog.

When a connector uses Data Publishing values if User Data Entry is enabled During Scan, only system keys are supported.

The following connectors do support non-system keys as well:

QuickConnect

  • Filenaming: batch-based index value + mapped values
  • Index file: batch-based index value only

ScanToFile

  • Filenaming: batch-based index value + mapped values
