Connector Document settings

Document settings enable you to specify default settings for options specific to a connector profile, including encryption, searchable text, and file format. They also enable you to specify whether users at the eCopy-enabled device can change the settings; user-modifiable options are available when the user presses the Document settings button on the Preview screen.

Setting Description

Encryption

(for PDF file format only)

  • Enable encryption: Prompts the user to enter an encryption password. All scanned documents are encrypted. If you do not select this option, Document encryption is not available for the profile. If you also select the User modify option, the user can choose encryption on a document by document basis.
  • User modify: The user can override the default setting.
  • Document security: Set document passwords and permissions in the Document Security window.

Searchable text

(for PDF, PDF/A, and PDF/UA file formats only)

  • Enable searchable text: Processes all scanned documents using the OCR engine and embeds searchable text in the file. If you also select the User modify option, the user can choose whether to make the document text searchable on a document by document basis. If you do not select this option, Searchable text is not available for use with the profile.
  • User modify: The user can override the default setting.
  • Enable OCR language settings: Enable profile level OCR language settings; if enabled, the OCR languages expandable list shows all the available languages in active status, and their checkboxes can be marked to change the Disabled status to Enabled.

File format

  • File Format Option: TIF FAX, TIF, PDF, PDF/A, JPEG, XPS, RTF, Word (.docx), Word (.doc), Excel (.xlsx), Excel (.xls). Specifies a default format. TIF Fax supports Group3 2D 1-bit. TIF supports Group4 2D 1-bit, GrayScale 8-bit, and Color 24-bit. If you select a TIF option, you must disable the Searchable text and Encryption options; they are not compatible with the TIF format.
  • User Modify: Enable or Disable User Modify option for File Format. PDF version, PDF/A version, PDF/UA version cannot be modified by the user.
  • PDF Version: To specify the version of the generated PDF file; available values are: PDF 1.4, PDF 1.5, PDF 1.6, PDF 1.7, PDF 2.0.
    This setting is only available in case of PDF format. The default value of this Document connector setting can be configured in Advanced ShareScan settings > Shared manager settings > PDF Default version. By default the value of this Advanced ShareScan setting is PDF 2.0. For detailed information on the PDF standard, visit http://www.pdfa.org.
  • PDF/A version: To specify the sub-type of the generated PDF/A file; available values are: PDF/A - 1b, PDF/A - 2b, PDF/A - 2u, PDF/A - 1a, PDF/A - 2a, PDF/A - 3b, PDF/A - 3u, PDF/A - 3a.

    This setting is only available in case of PDF/A format. The default value of this Document connector setting can be configured in Advanced ShareScan settings > Shared manager settings > PDF/A Default version. By default the value of this Advanced ShareScan setting is PDF/A - 1b. For detailed information on the PDF/A standard, visit http://www.pdfa.org.

  • PDF/UA version: To specify the version of the generated PDF/UA file; available values are: PDF/UA-1, PDF/UA-2.

    This setting is only available in case of PDF/UA format. The default value of this Document connector setting can be configured in Advanced ShareScan settings > Shared manager settings > PDF/UA Default version. Document name

  • Default file name: The default naming format for the scanned documents: DeviceName_ConnectorID_<DateTime>.ext
  • Specify name: Specifies a default file name for the scanned documents.
  • Advanced: Enables you to configure the Advanced File Naming settings. Specifies the fields that are used to build a file name for the scanned documents. You use the Add/Edit file name fields window and the Field Editor to specify the fields.
  • User modify: The user can override the default setting.

Blank page removal

  • Enable blank page removal: Removes blank pages from the scanned documents. If you do not select this option, blank pages are retained in the scanned documents. ShareScan tries to identify the areas (zones) of the text on page, and if the percentage of text on the page does not reach the value specified in the Threshold, the page is removed. Note that if the OCR recognizes meaningful text on the page, the page is not considered blank!
  • Threshold: If Blank page removal is selected, the Threshold value is the percentage of text coverage on the page that triggers a search for blank pages. The more you increase it the more of your pages will be treated as blank because it will tolerate more non-white. If you set it to a low value, pages with proportionally little non-white will be treated as blank.
  • User modify: The user can override the default setting.

Splitting

Enables selection of the following Document splitting options and their settings:

  • Blank page: Creates a new document when the system finds a blank page within the range specified in the Threshold field. For black-and-white documents, if the Blank page removal option is set to On, the blank pages that divide the documents are removed from the final scanned document(s).
  • File size: Creates a new document when the file reaches a specified size. You specify the file size by clicking the Size button and entering the size, in kilobytes (kB).
  • Number of pages: Creates a new document after the specified number of pages. You specify the number of pages by clicking the Pages button and entering the number.
  • Off: splitting is turned off.

PDF Image compression

This lets you choose image compression options in PDF files.

Type:

  • Expert: best text quality and smallest file size
  • High: high text quality and smaller file size
  • Medium: best picture/graphics quality
  • Custom:
    • Method (color and grayscale): JPEG, JPEG 2000 (only available if Custom type is selected)
    • Quality (color and grayscale): adjust quality file size tradeoff with slider; 100: best quality, biggest file size (only available if Custom type is selected)
    • Method (B&W): G4, JBIG2. Both G4 and JBIG2 provide lossless compression. For higher efficiency (but slower processing) choose JBIG2. G4 is faster but less efficient (only available if Custom type is selected).

Preserve original image: Select the Yes check box to enable this feature. If enabled, the image files arriving from the scanner are inserted into the non-MRC PDF files, provided no modifications are applied to them (Barcode recognition and rotation are an exception to this).

This option is only available if Medium compression type is selected.

Each connector profile supports a unique group of settings. If a setting is not available for the connector you are configuring, it is grayed out.
