Create a new invoice

Specify party identifiers

When you complete creating a new invoice and click Check to verify that you have filled in all the required fields, the following error messages may appear:

  • At least 1 Supplier Organization ID expected, but 0 found

  • Supplier VAT identifier is missing

In this case, your invoice does not meet the recipient requirements. To meet the recipient requirements and to send invoices to this recipient, you must configure the Invoice Portal member account settings. For member administrators:

  1. Go to Settings > Member account.

  2. Under Party identifiers, select the country and the type, enter the identifier, and click Add.

  3. Click Save at the bottom of the page.

Create invoices without a VAT/Tax ID number

By default, you are required to specify the VAT/Tax ID number when creating an invoice.

To send an e-invoice without a VAT number or to send a reverse charge invoice, perform the following steps when you create an invoice.

  1. On the Edit invoice page, under the Payment details section, click More details.

  2. Under Supplier's VAT/Tax ID and Buyer's VAT/Tax ID, select None.

  3. Select Tax exempt and specify the reason in the Tax exemption text field.

    If the recipient is receiving invoices through the Peppol network, the additional field Tax exemption reason code is available. Select the applicable reason from the list of pre-defined reasons.

  4. Under the Invoice lines section, in the Tax category field, select the applicable value, such as Services outside scope of tax.

    The tax category "Services outside scope of tax" is the only valid tax category within the PEPPOL3 format for vendors who do not have a VAT number.

After you complete these steps, fill in the rest of the invoice and click Check at the bottom of the Edit invoice page to make sure the invoice is valid.

Create credit invoices

Follow the instructions in the Create new topic. Make sure that under Invoice details, the Invoice type field is set to Credit.

The amount must be positive. With the Invoice type setting, the sent invoice is correctly filled in with a credit amount.
