Create a Job query

The Job queries help you to search for required jobs and activities.

  1. Navigate to Queries > Job queries.
  2. Click New.

    The New job query dialog box is displayed.

  3. Enter a Name for the query.
  4. Select the Category in which to create a query.

    By default, the query is added to your working category.

  5. Optional. Select Return query total to view the total number of items matching the query.

    At runtime, the total number of items regardless of the retrieval limit specified in the query is displayed.

    If you turn this setting on, there will be a performance overhead.

  6. Specify the filter criteria.
  7. Define the metadata.
    1. Select a Work type and the Filter operator.
    2. Configure and add the required meta fields.
  8. Add columns, provide access control, and sort columns in the query.
  9. Click Save.

Filter criteria for a Job query

The following table describes the fields available as filter criteria.

Job field

Description

Type

The type of job. Available options are All Job, Case, Associated job, BusinessRule and Equals. (Default: All)

Created by

Includes the following options:

  • Static: (Default). Includes an individual or a group resource.

  • Dynamic: Includes the following resource options:

    • None (default)

    • Me: The job created by you.

    • Me and my groups: The job created by you and the groups you are part of.

    • My direct subordinates: The job created by your direct subordinates.

    • Me and my direct subordinates: The job created by you and your direct subordinates.

    • My subordinates: The job created by the people that report to you and the people that report to them.

    • Me and my subordinates: The job created by you, the people that report to you, and the people that report to them.

Job owner

The resource who currently owns the job (Group or Individual). Available options:

  • Static: (Default) Includes an individual or a group resource.

  • Dynamic: Includes the following resource options:

    • None (Default)

    • Me: The job is assigned to you.

    • Me and my groups: The job is assigned to you and the groups you are part of.

    • My direct subordinates: The job is assigned to your direct subordinates.

    • Me and my direct subordinates: The job is assigned to you and your direct subordinates.

    • My subordinates: The job is assigned to the people that report to you and the people that report to them.

    • Me and my subordinates: The job is assigned to you, to the people that report to you, and to the people that report to them.

Score

Specify the scoring rule. The score includes the following options:

  • Equals (Default: Equals, 0)

  • Greater than

  • Greater than equal to

  • Less than

  • Less than equal to

  • Not equal to

Priority

The priority of the activity (1 is the highest and 100 is the lowest). (Default: All)

Category

The category under which the job is created.

Sub categories

If selected, shows the sub-categories under which the job is created. (Default: Clear)

Retrieval limit

The number of the latest jobs to be retrieved from the server at a given point in time. (Default: 100)

The following table describes the job fields and date fields available as filter criteria.

Job field Description

Job ID

The ID of the case job.

Case reference

Case reference based on which the job is created.

Process

Select a process based on which the job is created. The available versions of the process map appear on the Process version list, and the highest version number appears as the process version.

Process version

Select the process version from the list. You can also select all versions. (Default: Highest version number of the selected process)

Status

The following job statuses are available:

  • Active (default): Jobs that are currently in an active state, that is, actively progressing or in a state to progress.

  • Live and finished: Jobs that are currently live or finished.

  • Finished: Jobs that are completed or terminated.

  • Live: Jobs that are either not completed, terminated, awaiting completion, or awaiting termination.

  • Completed: Jobs that have completed their life cycle as designed.

  • Ready for evaluation: Jobs that are in the process of re-evaluating what should happen next.

  • Pending: Jobs that have been completed, but there are taken activities.

  • Suspended: Jobs that are suspended but can manually be reactivated to get them up and running again.

    The jobs that have failed evaluation cannot be suspended.

  • Terminated: Jobs that have stopped processing before completing the lifecycle.

  • On hold: Jobs that are on hold for a specific time to delay all event processing. When a job is placed on hold, exceptions, milestones, and triggers are affected. When the hold time expires, the job moves to active status, and the job activities become pending.

  • Awaiting associated jobs completion: Cases that are completed but still have active associated jobs.

  • Awaiting associated case completion: Associated jobs that are completed and awaiting case completion.

  • Terminated awaiting associated jobs completion: Terminated cases awaiting completion of associated jobs.

  • Terminated awaiting associated case completion: Associated jobs that have been terminated and awaiting case completion.

  • Evaluation failed: Jobs that have failed evaluation.

  • Archiving: Jobs that are currently being archived.

    A job typically does not stay in this status very long. This status is shown for jobs with huge job histories that take a long time to archive.
  • Terminating: Jobs that are pending termination.

    This status is typically seen when terminating a case with hundreds of fragments.

Job SLA

The status of the job. All, Green, Amber, Red (Default: All)

The job SLA status is the visual representation of the job status on your work queue. Indicates if the job is within or has exceeded the set time or target duration.

Job state

Name of the state associated with the process.

Suspend reason

The reason for suspension of the job.

Start date

Completion date

The date when the job should start and be complete.

If the date option is "Since" or "Between", you can provide a value to be "@Today" or a certain number of days from today in the following format:

@Today +/- NUM. For example, <@Today + 10>, <@Today - 7>

Due date

The date by which the job is to be completed.
