Roles

Roles provide a mechanism to group related sets of privileges in MarkView Process workflows. For example, a role might grant a user the privilege to:

  • Examine or retrieve work items from a specific queue using a given function
  • Take an action on work items in a specific queue using a given function
  • Route work items to a specific queue using a given function
  • Run a report within the MarkView Process Reports framework

Roles typically correspond to the responsibilities of a job function within an organization, for example:

  • Accounts Payable Manager
  • Accounts Payable Clerk
  • Human Resources Manager
  • Purchaser

A user granted a role inherits the privileges assigned to the role. A user can have many roles and a role can be granted to many users.

Add a role

  1. Select the Roles tab and click Add.
  2. Enter a Role ID and click Save.
    Once you save the role, you cannot change the role ID.

Delete a role

Before removing a role, verify that the role is no longer in use.

  1. Select the Roles tab, and click Details next to the role to remove.
  2. Click Delete.

Add a user role grant

  1. Click Details next to the role for which to add users.
  2. Select the User Role Grants tab and click Details next to the item to change.
  3. Click Select User Profile and select a user.
  4. Enter an Effective As Of Timestamp to enable the user's role membership on a particular day and an Effective Until Timestamp to disable the user role membership on a particular day.
  5. Specify whether to enabled the grant by selecting Yes or No.
  6. Specify whether the user can control the grant by selecting Yes or No.
  7. Click Save.

Modify a user role grant

  1. Select the User Role Grants tab and click Details next to the role grant to change.
  2. Continue as follows:
    • To change the grant, modify the fields as needed, and click Save.

    • To remove the grant, click Delete.

Add a role queue privilege

  1. Click Details next to the role for which to add queue privileges.
  2. Select the Role Queue Priviledges tab and click Add.
  3. Click Select Queue and select a queue.
  4. Click Select Function and select the function to authorize.
  5. Select a Privilege Code.
  6. Click Select Filter and select a filter to use.
  7. Enter a Filter Parameter to use.
  8. Enter a Priority and click Save.

Modify a role queue privilege

MarkView generates the ID, which you cannot change.

  1. Click Details next to the item to change.
  2. Continue as follows:
    • To change the queue privilege, modify the fields as needed, and click Save.

    • To remove the queue privilege, click Delete.

Other role options

Using Process Admin to modify, add, or remove settings for the following can directly impact MarkView functionality or could require coding and configuration outside of MarkView. Therefore, do not perform administrative tasks for these settings without the guidance of a Kofax employee.
