New/Edit Signatory

In this dialog, the data for a signatory can be entered or changed.

Signatories are:

(authorized) signatories

rubber stamps

variants

Some fields are already filled with standard values: For example, the current date is shown in the valid from field. If the English language is active, all date fields can also be filled in with today's date simply by pressing the T key.

If there is a signature image for the selected person, it is displayed in the dialog mask. The following buttons are located below the signature field:

Scan
Here you can branch off into the Scan dialog in order to record a signature.

Edit
Here you can branch off into the Edit Signature dialog in order to process an existing signature (see chapter Edit Signature)

Delete
Deletes the authorized person's signature image.

Mono / Grey
Button to change the display of the signature-image between monochrome and grey scale  display

The entry not for ASV is used to direct that this signature should not be used in automatic signature verification. If this option is activated i.e. because the resolution of the image is not high enough, this signature will not be used for the automatic signature verification, but any bound variants found for this signatory, where not for ASV is not selected, the bound variant will still be used.

 

(Authorized) Signatories

The fields for last name and first name are required fields, and must be filled in. Only when these fields are filled in can the buttons OK, Assign Groups and Complex be used.

When writing instructions, the texts can be selected from a list. If you select See instruction text from the list, you can enter free text of up to 200 characters.

The authorization powers show the signatory's signature rights. These can be the following:

Single
Authorization to sign alone.

+ Any Two
Authorizations to sign jointly. That means that the authorized signatory may only sign together with another authorized signatory. The highest limit of either of the authorized persons is valid.

No Rights
Signatories who have been explicitly assigned 'no powers' are not considered in collective authorizations. The 'No Right' classification makes sense when the signatory may not sign for a certain period of time, but should be reactivated later.

For every signatory, up to three powers (with or without value and/or time limits) can be specified; the user is responsible for the logical correctness of multiple powers, since SignBase applies these powers independently of each other when verifying cheques.

If a more precise authorization structure should be displayed, the Complex button can be selected.

 

Rubber Stamps

In recording a company rubber stamp, only the validity dates, status, and characteristic can be filled in.

 

Historizing

If the signature or the rules for a signatory are changed, a backup copy of the original settings is created automatically. This copy is displayed again when a date in the past is entered in the Search for account entry dialog. Archived signature entries can no longer be changed.

 

Important!

If you want to capture more than one signature for the same signatory, the additional signatures must be captured as variants (menu item New Variant) and those variants must then be bound to the real signatory. This ensures, that the automatic signature verification does not reject simply because it finds a match with more than one real signatory
