    View model configuration Improvements

    A number of improvements have been made to the view model that controls the Web Application layout or the PROCESS DIRECTOR integrated view.

    The "Display structure", "Display table type" and "Button label" columns have been removed from the view model configuration. Grid data structures and tables are now generated dynamically.

    The new "Environment" column in the view model is populated with values for the SAP GUI and Web Application, respectively. Important! This applies only to view models created in PROCESS DIRECTOR 7.4. If you have created customer view models prior to 7.4, you must add the appropriate entry in the "Environment" field of these view models.

    Depending on the selected grid environment, different sets of parameters are now visible in the layout configuration. Previously parameters relevant to all environments were displayed.

    New settings are available in the SAP GUI grid layout to configure subgrids (such as line items). You can specify the position of the grid on the screen and whether it is displayed automatically or the user has to open it. You can also disable the new button that allows users to dock and undock grids.

    Search help for Text field

    Search help is now available for the “Text” field in line items and accounting lines. If a text ID is entered in the field, the corresponding text is inserted. It is also possible to enter freeform text.

    Email search help for messages

    A search help is now available for the “E-Mail Address” field in the “Send message” popup.

    Invoice reduction improvements

    The "Invoice reduction" popup has been redesigned to provide more information and facilitate simultaneous reductions in price and quantity:

    If conversion factors have been defined in the purchase order (“Quantities/Weights” tab), these are displayed both for the PO and the invoice in the popup. Details of the open quantity are also displayed.

    Only relevant fields can be filled, depending on whether there is only a price deviation, only a quantity deviation, or both. This is also dependent on whether the workflow allows only price reductions, only quantity reductions, or both.

    The net amount is automatically calculated from the reduced quantity and net price.

    A “Proposal” button is available to automatically propose values for price reductions based on the deviation between the PO and the invoice.

    For simultaneous price and quantity reductions, if there is a mismatch between the quantity reduction and the price reduction values, PROCESS DIRECTOR issues an error message.

    Selecting a line item with a deviation displays that line when the “Invoice reduction” popup is opened.

    In addition, the following improvements have been made:

    The “Reason” field value is now transferred from the invoice to the debit advice.

    Additional checks 0001, 0003 and 0011 are skipped for invoice items for which a debit advice was already created during an invoice reduction workflow.

    Invoice reduction can be used in parallel workflow steps. This allows, for example, one user to process a price deviance and another user to process a quantity variance.

    A debit advice document can now be deleted if the corresponding invoice has not yet been posted.

    After posting, the debit advice document is available as a PDF attachment in the SAP PO. This requires that the document type defined in the invoice reduction configuration settings (/COCKPIT/61) is configured in OAC3 for BUS2012.

    One Touch Processing (OTP)

    It is now possible to verify invoices directly in the PROCESS DIRECTOR Accounts Payable interface, rather than in the INVOICES Verify module. Captured fields are highlighted on the document image, and the user can double-click in a field of the PROCESS DIRECTOR document to locate the field value on the image. The user can also “rubberband” values on the image to transfer them to the PROCESS DIRECTOR document.

    The ReadSoft Service Bus (RSB) is used to transfer INVOICES data and the document image, as well as information about the position of the document fields on the image, into PROCESS DIRECTOR.

    OTP also requires the new INVOICES Capture Storage plug-in. This installs two web services: the Capture Storage service and the Capture Storage Autolearning Worker service. The Capture Storage service receives the image and OCR data from INVOICES. When the user clicks the “Show image” button in PROCESS DIRECTOR, instead of displaying the image from the SAP content repository, PROCESS DIRECTOR displays the image file from the Capture Storage service. The rubberbanding functionality is a feature of the Capture Storage service, so when the user rubberbands image data in Accounts Payable, PROCESS DIRECTOR calls the Capture Storage service.

    When the document is posted in PROCESS DIRECTOR, the updated document values and positions are sent to the Capture Storage Autolearning Worker service. This service then passes the new values and positions to the INVOICES database.

    Accrual Report enhancements

    A number of enhancements have been made for the Accrual Report (transaction /EBY/ICIV_ACCR_REP).

    Display of items for multiple company codes is now possible, however, editing and document creation is only possible for a single company code.

    Additional selection screen fields "Creation date", "Total net amount of invoice >=", "Currency" and "Accounting Clerk" are available.

    Already processed items can be included or excluded from the report.

    It is now possible to convert to local currency or a specified currency. Exchange rate type and date for conversion can be specified.

    Default dates and tax code for accrual documents can be set in the selection screen. These are passed to the accrual document creation popup and can be edited.

    Fast Coding Entry: In the selection screen, it is possible to specify a G/L account and a value for a specific cost element (for example, a cost center). The entered values are assigned to all lines in the report that do not already have an entry for the G/L account or the specified cost element (for FI documents only; does not apply to documents in workflow). G/L and cost element fields can be edited in the report, but only if a single company code was entered in the report selection screen. Entered values are checked; if the values are incorrect, messages are displayed and the corresponding fields highlighted. Checks can also be performed manually.

    All line items of one or more documents must be selected in order to create an accrual document, but this does not have to be done manually. If just a single line item of the document(s) is selected, clicking the toolbar button "Select all document items" selects all the other items of the document(s).

    Items for which an accrual document has already been created are now marked with the status icon "Processed" in the report. A toolbar button is available to remove processed items from the report.

    Editing or document creation is only possible if no other user is currently processing the report for the selected company code.

    A new text creation option "Invoice information" is available when creating an accrual document. This displays the values "Invoice number:Vendor number:Document date" in the line item "Text" field.

    If PROCESS DIRECTOR for Financial Postings is not installed, no accrual document can be created, so items must be processed manually instead. A toolbar button is available to mark items as processed.

    Integration with the Ariba network

    An add-on is now available for PROCESS DIRECTOR Accounts Payable to process Ariba documents in PROCESS DIRECTOR. This add-on is provided as a separate transport and has its own license. Features include:
    - Reception of Ariba MM and FI documents
    - Mapping of Ariba data to PROCSS DIRECTOR Accounts Payable data
    - Status update handling to the Ariba network
    - Supporting for handling attachments
    - Filter function to filter document routing to PROCESS DIRECTOR Accounts Payable or to the SAP Business Suite Integration Component for Ariba.

    Item proposal for service entry sheet references

    Item proposal now takes entered service entry sheet numbers into account. Only item details that match the entered/captured service entry sheet are proposed.

    Support for Distribution by Amount

    PROCESS DIRECTOR Accounts Payable now supports the account assignment distribution option “Distribution by Amount” (available in SAP since EhP4).

    New fields "VAT registration number" and "Reporting country"

    If a vendor has multiple VAT registration numbers for different countries, it is now possible to enter the tax reporting country and the VAT registration number in the "Taxes, rates" tab. Note that these fields are not supported for FI BAPI posting.

    Support for special fiscal period

    The "Period" field for posting to a special fiscal period is now available on the "Invoices" tab (for FI documents only). The entered value is transferred to SAP on posting/performing.

    Support for special G/L indicator field

    The "Special G/L indicator" field for posting special G/L transactions is now available on the "Invoices" tab (for FI documents only). The entered value is transferred to SAP on posting/performing.

    Attachments control in User specific settings renamed

    The "Attachments control" functionality in the "User specific settings" popup box is now called "Message attachments", and the selection option names have also been changed to be more meaningful.

    Description fields for cost elements

    The fields for cost elements now display the descriptions from SAP.

    Check for down payments

    A new check, 0021 "Down payments", is available to check invoices for vendor and PO-based down payments. By default, vendor down payments are checked; PO-based down payments are optional and can be deactivated. Credit notes can also be included in the check. Messages are issued if down payments exist.

    Customizable rejection reasons

    It is now possible to configure rejection reasons that users must select when rejecting a document. These can be used instead of or in conjunction with mandatory rejection notes.

    Support of tax base amount

    The fields “Tax base amount” and “Determine base” are now available in the accounting lines and these values are passed to SAP.

    Improved drag and drop functionality

    In addition to the existing menu item, a button is now available on the detail screen to call the drag and drop functionality to assign invoice items from the PO.

    Mass processing for document posting

    Similar to the mass processing of documents using the "Send message" or "Start workflow" function", where all the messages are collected and presented in one message log, now mass processing can be used for document posting too. Individual message popups are no longer displayed for every single document. Instead, the messages for all the documents are collected and presented to the user in a single message popup.

    Create PROCESS DIRECTOR documents from Accounts Payable documents

    It is now possible to create other types of PROCESS DIRECTOR documents, such as Financial Postings or recurring payments, from PROCESS DIRECTOR Accounts Payable documents. This feature was introduced in PROCESS DIRECTOR 7.3, but had to be activated using a custom function. In PROCESS DIRECTOR 7.4, it is a standard, optional feature that is activated in the configuration.

    Users can select the type of PROCESS DIRECTOR document they want to create. The available types are defined in the configuration. When a PROCESS DIRECTOR document is created from an Accounts Payable invoice document, the invoice document remains in the system with the status “Transferred to PD”. It contains a link to the newly created PROCESS DIRECTOR document. If the user selects to finalize the invoice document after creating the PROCESS DIRECTOR document, the invoice can no longer be edited, reversed or posted.

    User Exit 079, "Transfer to PD, data prepare before RFC call" is available to adjust the data before it is transferred from the invoice to the PROCESS DIRECTOR document.

    VAT report for unposted documents

    A new report “/EBY/ICIV_VAT_REPORT” is available that collects tax information from unposted PROCESS DIRECTOR Accounts Payable documents. The report is summarized by currency and tax code, and also by gross and net amount per currency. The report can also be created by running transaction /EBY/ICIV_VAT_REP.

    Withholding tax table in RFC_DATA_SUBMIT

    The “Withholding tax” table (IT_WHTX) is now available in the /COCKPIT/RFC_DATA_SUBMIT function module.

    Use original posting date for document reversal

    A new option is available in /COCKPIT/C56 to specify that the posting date of the original document should be used when reversing a document. Previously, users had to enter a posting date manually.

    Support of permitted/alternative payee

    A new field “Payee” is available on the “Invoice” tab in which the user can select a permitted or alternative payee defined for the vendor. Please note that the MM BAPI does not support an office/branch relationship with permitted payees; in this scenario, the document must be performed instead of posted.

    New tables for SARA archiving

    The tables /COCKPIT/TIP_DN, /COCKPIT/TIP_PO and /COCKPIT/TWT_TAX (delete only), and the structures /COCKPIT/TTAXHBR and /COCKPIT/TTAX_BR have been added to the /COCKPIT/S archiving object to allow archiving of item proposal PO and delivery note, withholding tax and Nota Fiscal data with SARA.

    Search help for one-time vendors

    It is now possible to search for one-time vendors (CPD vendors) that have already been used in PROCESS DIRECTOR Accounts Payable and copy the vendor data into the current document. When the user enters a CPD vendor number (1950 or 1960), a button appears that the user can click to select the vendor. Another button enables the user to view and edit the address and bank data of the selected vendor.

    /COCKPIT/MD_EXPORT enhancements

    A new parameter, "Fill Corporate Group ID field from Company Code", is available in the MD_EXPORT program, which exports master data from the SAP system as XML files for import into INVOICES. When this parameter is activated, the "Specify Corporate Group ID" field is automatically filled with the company code value in the XML file. This parameter makes it possible to use the MD_EXPORT program with ReadSoft Online. In addition, the "Region" field values are now included in the SUPPLIER.XML file.

    Follow up flag for Send message function

    A follow up flag is now set when a user sends a message.

    License threshold warnings displayed to chosen users

    License threshold warnings are now customizable and can be displayed only to those users who are responsible for ordering licenses, rather than to each user who starts PROCESS DIRECTOR Accounts Payable in the SAP GUI.

    MOBILE APPROVAL

    WORK CYCLE globals for MOBILE APPROVAL

    The function module WC_SET_GLOBALS is now available for use with MOBILE APPROVAL, so that workflow global data can now be used in User Exits by calling WC_GET_GLOBALS.

    Umbrella

    Synchronizer program improvements

    The fields “Creation date” and “Company code” are now available in the selection screen of the Synchronizer program (/EBY/ICIV_doc_SYNCHRONIZE). For "Creation date", time zones (system or user setting) in the remote systems must match the umbrella system.

    Umbrella Solution Enhancements

    The Umbrella Solution now has a document detail view to display documents from remote systems. This detail view includes the line above the header data showing the balance. A toolbar button is also available to jump to the detail view on the remote system (which contains more information than is available on the umbrella system). Any changes entered in the umbrella system are saved both to the umbrella system and the corresponding remote system.

    Centralized workflows

    Previously, only workflows defined in the remote systems could be used in the umbrella system (although the descriptions of these could be mapped to a unified description in the umbrella system). It is now possible to use centralized workflows that are defined in the umbrella system; in this case, workflows defined in the remote systems are no longer available for selection in the umbrella system. Centralized workflows require a general workflow license (license type WC). Centralized workflows must be defined in the umbrella system in the /EBY/ namespace (IMG > Initial settings > Workflow). Centralized workflows can only be used for a document if it is not in workflow on the remote system. Notes added to the document on the remote system are not displayed in the umbrella system, and notes entered on the umbrella system are not displayed in the remote system.

    Start-up selection screen support

    It is now possible to add Accounts Payable fields to the start-up selection screen in the umbrella system.

    Web Application support

    The Umbrella Solution is now available in the Web Application, with the following limitations:
    - Texts and notes are currently not implemented.
    - It is not possible to create a Goods Receipt or Requisition from an Accounts Payable document.
    - The audit trail does not show /COCKPIT/ messages.
    - CO-PA is not supported.
    - Hiding non-relevant grids depending on whether the document is an MM or FI invoice is not supported.
    - The sort order of documents may be different from the SAP GUI sort order.
    - Disabling the selection screen for Worklist nodes is not possible.

    Search help availability

    It is now possible to access search helps in the remote system from the umbrella system document detail view. Currently this applies only to elementary search helps

    Transfer documents from one system to another

    On the umbrella system a new toolbar button is available to transfer a document from one system to another. The document is assigned the status “Rejected” in the source system. Transfer is not possible for documents in workflow and posted documents.

    License for Umbrella Solution

    A separate license is now available for the Umbrella Solution. This is an activation license only. The license is checked during document registration in the umbrella system.

    Web Application

    Unopened documents highlighted

    A new parameter "pdap_mark_unread" is available in the "pdweb-app.properties" file to highlight documents that have not yet been opened in bold type in the document overview list.

    Document detail view content fully scrollable

    The content in the document detail view is now fully scrollable. Previously, it was only possible to scroll in the top or bottom sections.

    Default drop-down list selection in search dialog boxes changed from "Please select" to "All"

    In search dialog boxes, the default value for drop-down list boxes has been changed from "Please select" to "All" to indicate that if nothing is selected, all values will be found.

    User settings

    It is now possible to provide personal user settings that users can change in their user profile. Any “pdweb-app.properties” parameter can be provided as a setting (although not all parameters are suitable for user settings). For example, you can provide the parameter “pd_imagedockingwidth” to allow users to individually specify the width of the image display on the screen. The parameters are defined in the new “user_settings.xml” file, and are available to users in the “User settings” pane of the user profile

    Parameter to use field names from field catalog

    In PROCESS DIRECTOR, field labels and table titles are taken from the field catalog of the WC and IV process types and can be customized there. For PROCESS DIRECTOR Accounts Payable, in order to ensure consistency with the old WORK CYCLE Web Application, these field catalog labels are taken from the Web Application "messages.properties" file instead. With the new “pdweb-app.properties” parameter “pdap_use_pd_field_names” you can disable this. It is recommended to set "pdap_use_pd_field_names=yes for new installations and leave the default value "no" for upgrade installations.

    Background search enhancement

    The behavior of the "pd_search_on_change" parameter setting has been changed. The new behaviour is that the values that are manually entered into a field which has a search help are automatically verified when the user presses the ENTER or TAB key, or clicks outside the field. If the verification fails, in case of "pd_search_on_change=yes", the search help dialog box automatically opens, and in case of "pd_search_on_change=no", the field is just marked with a red border.

    Configurable XSS security headers

    A new parameter, "xss_security_header.n", is available in the "pdweb-app.properties" file to configure which HTTP headers are added to the HTTP response in order to prevent cross-site server scripting. Multiple headers can be set using n=1,2,3 etc. The default setting is "xss_security_header.1 = X-FRAME-OPTIONS:SAMEORIGIN".

    Confirmation message after document approval, rejection or forwarding

    When a user approves, rejects or forwards a document, an appropriate message is now displayed about the action performed.

    Customizable date and number formats

    By default, date and number formats for SAP users are now taken from the settings in the SAP user profile when PROCESS DIRECTOR 7.4 is used. It is possible to override this by setting the “pdweb-app.properties” parameter, “pd_formats_from_sap=no”. It is also possible to specify date and number formats for the Web Application in the “pdweb-app.properties” file by using the parameters, “pd_date_format” and “pd_number_format” (even language-specific formats; for example, "pd_date_format_en").

    Display header data in either tabs or separate panels

    With the new configuration parameter, "pd_header_display_mode = TABS or BOXES", a document's header data can now be displayed in either tabs or separate panels.

    Display of action messages in the Audit Trail

    The display of action messages in the Audit Trail has now been improved such that the event name is not shown anymore and the tooltip for a message type shows the full message identifier.

    Information about empty mandatory fields displayed

    The "Messages" popup that is displayed when trying to save a document that has empty mandatory fields now shows which mandatory field(s) are empty and need to be filled in.

    Display notes in table area

    With the new "pd_notes_in_detail" parameter, notes can now be displayed in the table area of the document detail, instead of in the additional information area.

    Enter note in Workflow status popup

    A new tab is now available in the "Workflow status" popup in which users can enter a note (for example, when forwarding a document, sending a query, or assigning processors to the next workflow step).

    LDAP support for ReadSoft Mobile

    The Web Service used by the ReadSoft Mobile App now supports LDAP authentication.

    New cursor positioning behavior

    The positioning of the cursor when entering the document detail view, the notes pane or a popup has been improved, in that the cursor is now placed in the appropriate field; for example, in the first mandatory field, or, if there is no mandatory field, in the first empty field.

    Single Sign On via OpenSSO

    The Web Application can now be configured for Single Sign On via an OpenSSO logon ticket.

    More detailed field-level error messages

    When a wrong value is entered in a field, instead of a generic message, the message popup now displays details of the error, including the field name.

    Department and phone number in user search results

    The WORK CYCLE user search help results now also display the department and phone number fields.

    Consistent position of navigation arrows

    The navigation arrows in the document detail view are now positioned to the left of the document number for easier navigation from one document to the next or previous one.

    Filter for document overview list

    Controls are now available in the document overview list column headings to sort the list in ascending and descending order, and to apply or reset a filter. The list can be filtered by single values or a range of values. For columns displaying an icon, the corresponding values can be selected from a dropdown list. The heading of filtered columns is displayed in parentheses. It is possible to filter on multiple columns. This functionality can be suppressed by setting the “pdweb-app.properties” parameter “pd_filter_list=no”.

    Background search configuration in view model

    Previously it was possible to configure the Web Application background search using the “pdweb-app.properties” parameters “bg_search_def” (specify which search help to use for the background search) and ”pd_text_search_key” (extend the background search to match the user input in descriptions as well as field values). These parameters are now obsolete when using the Web Application with PROCESS DIRECTOR 7.4 as these features are now configured in the view model using the settings “Primary search help” and “Search relevant field” respectively.

    Customize excluded search helps

    It is now possible to specify which search helps should not be available in the Web Application. Search helps that call a screen should always be excluded.

    Configure collective search helps

    A configuration option is now available in the view model to specify which search helps should be included in a collective search help, and to specify their order in the search help popup.

    Tooltip displayed only when different from field label

    A tooltip for an icon or a button is now displayed only when it is different from the label of the icon or button.

    User profile Worklist node/Quick start menu

    The user profile is now always displayed as a Worklist node instead of as a popup (previously this was controlled by the now obsolete configuration parameter "pd_user_profile_as_node"). In addition, a Quick start menu item is now available for the user profile.

    Page for changing initial password similar to login page

    The page where a user can change the initial password now looks similar to the login page.

    Tax fields editable during workflow

    Previously, it was only possible to edit tax fields during invoice creation. Tax fields can now be edited during workflow processing in accordance with the field status specified for the workflow step.

    No selection list if only one workflow is available

    If only one workflow is available for the document, the “Workflow” dropdown selection list is no longer displayed, only the workflow name.

    Improved automatic display of attachments

    Previously, when the user opened the "Attachments" panel, the first attachment in the list of current attachments was automatically displayed. This could be disadvantageous in the case of large attachments or a slow system. Now, an attachment is only displayed when it is selected from the list. However, when a new attachment is uploaded, it is automatically displayed. Invoice images are also automatically displayed.

    Unique PO number on item level populated in header

    If there is a single, common purchase order number for all line items, this PO number is added to the corresponding field in the header when the document is saved.

    Log file in user profile for administrators

    The Web Application log file is now displayed (read-only) in the user profile of users with administrator rights ("pdweb-app.properties" parameter "administratorN"). This requires that the parameter “pd_user_profile_as_node = yes” is set.

    Default help_configuration.properties file

    A default "help_configuration.properties" file is now delivered with the Web Application. Previously, it was necessary to create this file from scratch.

    Entering a document that has locked status

    A user can now enter the document detail view of a locked document, in read-only mode, and a message popup informs the user about the document's locked status.

    Input/search full user name and email address

    Input fields are now available in the Workflow status popup for the full user name and email address. This enables users to search for a user by the full name or email address while typing in the respective fields.

    Workflow actions are now available in edit mode for documents in the PROCESS DIRECTOR “Incoming Invoices” Worklist node. If the user changes data and then performs a workflow action on the document, the data is saved. Edit mode is now also available in the document overview list.

    WC globals for User Exit 2

    The function module /COCKPIT/WC_SET_GLOBALS_SET is now called before workflow Step User Exit 2, "Determine processor of step", so that workflow global data can now be used in this User Exit by calling /COCKPIT/WC_GET_GLOBALS. This makes it possible, for example, to determine the recipient of a step from the approver of the previous step.

    Workflow approval matrix

    It is now possible to create an approval matrix in which conditions for the approval of workflow steps and the corresponding workflow processors can be defined. The workflow approval matrix is available as a PROCESS DIRECTOR process type (WC_AM WC Approval Matrix). Currently, the logic to call the approval matrix must be coded in a User Exit or BAdI. Only PROCESS DIRECTOR workflows are available, so if the matrix is to be used for Accounts Payable, a workflow must be created in the /EBY/ namespace with the exact same ID as the corresponding workflow in the /COCKPIT/ namespace.

    Global management of substitutes

    It is now possible to centrally assign substitutes to SAP and Internet users. Previously users could only assign substitutes for themselves.

    New User Exit for workflow recall function

    User Exit 938, "Reduce list of documents before WF recall" is now available that provides the possibility to limit the documents that can be recalled from workflow.

    Automatic posting on workflow approval

    In the workflow settings, it is now possible to activate automatic posting of the document on workflow approval. A follow up flag can be set to indicate a failed posting.

    User Exit to customize workflow recipients search

    User Exit 937, “Adjust WF recipients search”, is now available to add custom logic when searching for workflow recipients (for example, to enable a wild card search).

    Automatically determine workflow recipients

    Functions are now available to automatically determine workflow recipients from the purchase order, purchase requisition, purchasing group or SAP HR. These functions can be assigned to a workflow step in /COCKPIT/WUM2.

    Step-specific texts for forward and query

    It is now possible to define step-specific email texts for forwarding and querying in /COCKPIT/WI3.

    Table key fields check in /COCKPIT/WI11

    An error message is now issued if table key fields are entered in /COCKPIT/WI11. Entering table key fields previously resulted in Java errors in the Web Application.

    Open query check during forwarding

    A check for open queries is now made when a user forwards a workflow.
