Introduction to Kofax ReadSoft Collector

ReadSoft Collector is an extension to Kofax ReadSoft Invoices that allows you to use incoming email as the source for your data capture (for both image and XML file formats). The following formats are supported for attachments: XML, TIFF, JPG, PNG, and PDF.

Data capture is a two-step process:

  1. Set up rules for the mail account ( MAPI, IMAP, or EWS) that is used to receive an email so that it automatically sorts the incoming messages into different folders upon delivery. You do this in your normal mail server client, such as Microsoft Exchange or Microsoft Outlook.

    Any attachments (containing the actual invoices) are also saved to the folder specified in the General ReadSoft Collector settings. You set this up in the Interpret job configuration for Kofax ReadSoft Invoices that is used to process invoices by email.

  2. All email attachments that are specified in ReadSoft Collector’s configuration as accepted image file formats (that is, images that are considered invoices or invoice attachments) are interpreted or imported, which means:
    • Email attachments that are image files (containing the actual invoices or invoice attachments) are interpreted.
    • Information from the email, such as sender and addressee, is saved with the resulting invoice.

Alternatively, you can also get files directly from a file folder (ReadSoft Invoices 5.8 SP2 or later only).

The advantage of using ReadSoft Collector is that emailed data or XML invoice files in a folder are processed automatically in the same way as paper invoices. The data is processed by Kofax ReadSoft Invoices modules making it possible to handle every type of data the same way as paper invoices, using the same business rules and transferring the data to your host system.
