Verifying documents

Verify data processed by previous activities to ensure that critical data is accurate. Administrators configure which fields need to be verified. Fields marked with warning icons contain verification errors and must be addressed.

Note Some fields are pre-populated with data but cannot be edited. As a result, if the value is not correct, the only option is to reject the document.

If you cancel the verification process, TotalAgility saves the unverified fields and any changes.

You cannot complete a document that contains unverified fields. As a result, you will need to do one or more of the following:

  • Confirm a field (press the ENTER key to accept the data).

  • Type the correct data in the field. Depending on configuration, the contents of the field may be blank or be populated with data. If the field is blank, the information you enter is compared to recognized data. If the data do not match, the system will prompt you to reenter the data.

However, you can complete an activity if all the unverified fields are in rejected documents. You can complete the activity when the following conditions are met:

  • Al folder fields are verified for all folders

  • All document fields are verified in all documents that have not been rejected.

Note The administrator can configure confirmation fields to be either editable or non-editable.

Confirming fields

  1. Navigate to a field.
  2. Correct the data if necessary:
    • If the data in the field is correct, press ENTER.

    • If the data in the field is not correct, enter the correct value and press ENTER.

    The warning icon goes away and the cursor moves to the next unverified field, if any.

Once all fields are verified, your changes are automatically saved.
