Configure a Scan activity

  1. Add an activity to the map.

    By default, the Configuration tab is open in the properties panel of the activity.

  2. Change the default Name of the activity to something meaningful.
  3. On the Type list, select Capture > Scan.
  4. Under Capture, select one of the following options to specify how an image should be added on scanning.

    Option Description

    Create new document

    Creates a new document for the scanned image. Select a document variable in theNew document field.

    Note The cSF client does not support this option.

    Add new document to existing folder

    Adds a scanned image as a new document to an existing folder.

    1. Select a folder variable in the Target folder field.
    2. Select a document variable in the New document field.
    Note You cannot set document or folder variables as input or output to this activity. However, you can set fields from a document or folder variable as input or output to this activity.

    Add pages to existing document

    Adds the scanned image as pages to existing document. Select a document variable in the Target document field.

    Add documents/pages to existing folder

    Adds the scanned image as documents or pages to an existing folder.

    1. Select a folder variable in the Target folder field.
    2. To scan documents into a folder, select a Separation profile. See Separation profiles.

    Create new folder and add documents

    Creates a new folder and add documents to it.

    1. Select a folder variable in theNew folder field.
    2. To scan documents into a folder, select a Separation profile.

    Create new subfolder and add documents

    Creates a subfolder and adds documents to it.

    1. Select a variable in the Target folder field to specify the folder where a subfolder will be created.
    2. Select a folder variable in the New folder field.
    3. To scan documents into a folder, select a Separation profile.

  5. Configure the following Scan settings.

    Scan/VRS profiles

    By default, the system takes the Default profile. To add another scan/VRS profile:

    1. Click Add. The Add scan/VRS profiles window opens.
    2. Select the profile and click Done.
    3. The system takes the first profile as the default profile. To reorder the profiles, use .

    Scanned image

    Inherit settings from process: Allows inheriting settings from process for the scanned image. That is, the image inherits page renditions from the process. The rendition fields for the activity become unavailable.

    If the Inherit settings from process setting is clear, allows you to specify whether to save input image as page rendition.

    To save input image as page rendition, select Save as rendition, and on the Page rendition list, select page rendition.

  6. Configure the following Scan operator settings.

    Classification

    Allow operator to classify documents: Allows scan operator to classify documents.

    By default, the classification group is inherited from the process. To select a classification group specific to this activity and not inherit from process, do the following:

    1. Clear Inherit classification group from process.

    2. On the Classification group list, select a classification group.

    Note If you do not select a particular classification group for the activity or inherit one from the process, or if you select to inherit the classification group from the process and have not associated a classification group at the process level, the system displays the following message, You can save the process but cannot release it until the configuration is complete.

    Page rendition

    By default, the page renditions are inherited from the system and the renditions for the activity become unavailable. To display a different image as default page rendition, do the following:

    1. Clear Inherit settings from system.

    2. On the Default displaying image list, select a different image to display as default image.

    Rescan

    • Auto-navigate to next rejected page/document on rescan: If selected, auto-navigates to the next rejected page or document on rescannig.
    • Complete only when no rejected pages/documents: If selected, completes the activity when no rejected pages or documents are found on rescanning.

    Imported documents

    By default, the activity inherits the settings from process for the imported documents .

    To specify settings specific to this activity and not inherit from process, clear Inherit settings from process. The following two settings are available.

    • Merge / Split / Delete: If selected, enables merging or splitting document and deleting pages.
    • Rotate / Reorder: If selected, enables rotating images and reordering pages.
    Note To keep the original copy of the documents that are imported but not scanned, keep these options clear.

    After scan event

    The event that is fired after the scanning of image is complete.

    Note The same event has to be set as precondition for the next Capture activity.

    MFP ready

    Enables the activity to be MFP (Multi-Function Peripheral) ready. Available options:

    • No (Default): The activity cannot be completed on an MFP device.
    • MFP friendly: Enables the activity to be completed on an MFP device and desktop.
    • MFP only: Enables the activity to be completed only on an MFP device.
    • MFP only - no password required: Enables the MFP operators to take the activity on the MFP without specifying the password. This setting is available for HP, MFP Emulator, and Lexmark eSF devices.

  7. Save the process map.

    At runtime, when you take the Scan activity, the generated Scan - new activity form appears. The system carries out the scan operations depending on the settings configured.

    If you do the following: The System does the following:
    Set the instance ID for a target folder and ignore the new document instance ID Scans the new document and updates the document variable with a new instance ID stored in the target folder.
    Set the instance ID of a target folder but not map a new document Scans multiple documents and stores them in the target folder.
    Not set the instance ID for a target folder but map either a document or folder variable Fails to scan the document or folder, because the target folder does not have a valid instance ID.
    Set the instance ID for a target document but not set an instance ID for a document or folder Adds pages to the target document.
    Not set the instance ID for a target document Fails to scan the document, because the target needs a valid instance ID.
    Map a target folder without an instance ID and map a folder variable Creates a subfolder in the target folder and updates the folder variable with a new instance ID. The scanned documents are stored in the subfolder.
    Not map the target folder or document and map a new document Stores the scanned documents in a new folder of the default folder type and updates the document variable with an instance ID.
    Not map the target folder or document and map a new folder Scans multiple documents to a new folder of the specified type and updates the folder variable with an instance ID.
    Not map a target folder or document and do not map a new document or folder Does not allow the scan activity to proceed.
