View process associations

View associations for a process, case definition, fragment, variable, and milestone.

The associations are only displayed for a released process, case definition or fragment.

If you modify the name of the process, case definition or fragment in the Design view, click Refresh to display the newly associated, updated or renamed items.

The item is opened in a read-only mode if it is already locked by another user.

View associations for a process/case definition/ fragment

  1. Navigate to the list page.
  2. Open the process/case definition/fragment for which to view the associations.

    The process/case definition/fragment opens in the Design view, in a new browser tab.

  3. On the Modeling bar, click the File tab and click Associations.

    By default, the processes being used by this process, and the processes using this process, if any are displayed. You can view the process associations for the following:

    • Processes: Processes being used by this process/case definition/fragment, and the processes using this process/case definition/fragment, if any.

      You can click a process name link to open the process in a new browser tab and make changes, as needed.

    • Forms: Forms being used by this process. If a form is associated with an activity, the name of the activity is also displayed.

      You can click a form name link to open the form in a new browser tab and make changes, as needed.

      The non-Kofax TotalAgility forms do not have a hyperlink.

    • Server variables: Server variables being used by this process/case definition/fragment. If a server variable is associated with an activity, the name of the activity is also displayed along with the server name.

    • Resources: Resources (individuals and groups) being used by this process/case definition/fragment. If a resource is associated with an activity, the activity name is also displayed.

      The areas where a resource may be associated with the process are:

      Roles

      • Fixed role supervisor

      • Fixed role members

      • Floating role supervisor

      • Floating role members

      • Job owner

      Access

      • Functional access

      • Maintenance access

      Activities

      • Default activity resources

      • Manual activity assignment

      • Activity job owner

      Advanced workflow rules

      • Advanced workflow rules

      • Advanced workflow rules exclude resources

      The resources associated with milestones, alerts and email activities are not displayed.

    • Capture: Classification groups, extraction groups, folder types, separation profiles, Scan/VRS profiles, PDF profiles and document conversion profiles being used by this process.

      If a classification group is associated with an activity, the activity name is also displayed. However, if the "Inherit from process" is selected for the activity, the classification group is only displayed at the process level and not displayed specific to the activity.

      The document types and folder types that are being used by the process are displayed.

      The Separation profiles, Scan/VRS profiles, PDF profiles and Document conversion profiles that are being used by the process are displayed along with the activity name or current process name if used at the process level.

      You can click the document type or folder type link to open it in a new window and make changes, as needed.

      The areas where a classification group, extraction group, separation profile and scan/VRS profile, PDF profile and document conversion profile may be associated with the process are:

    • Integrations: Integrations, such as CMIS, Exchange, SignDoc, RESTful Open API web service references and more, being used by this process. Integration associations also lists the custom service groups that are in use, displaying group name as the Name and custom service group as the Type.

      On upgrading TotalAgility to 7.10.0 from any of the versions prior to 7.7.0, associations for the following integrations are not listed on the Associations tab of a process. You must reconfigure the integrations to view the associations.

      • CMIS - All nodes

      • SharePoint - Create folder node

      • Micro Focus Content Manager - All nodes

      • Dynamics CRM - Dynamics CRM node

      • Exchange

      • Web Service - Restful service type

    • Data models: The data models being used by the process. Data model associations also lists the business rules, case definitions and custom services using the data model.

  4. To view the associations of a specific type, on the View associations by type list, select the type of association, such as Capture. (Default: Process)
    The Capture items using the current process, if any are displayed.

View associations for a variable

  1. Open the process and on the Modeling bar, click Variables.
  2. On the context menu of the variable for which to view associations, click Associations.

    The Variable associations < - variable name> dialog box is displayed where the associations are grouped under two tabs:

    • Process: Includes process level associations.

    • Activity: Includes activity level associations.

  3. Click OK to close the dialog box.

View associations for a milestone

  1. Open the process and on the Modeling bar, click Milestones.
  2. On the context menu of the milestone for which to view associations, click Associations.

    The Milestone associations < - milestone name> dialog box is displayed where the associations are grouped under two tabs:

    • Process: Includes process level associations.

    • Activity: Includes activity level associations.

  3. Click OK to close the dialog box.
