Create a PDF profile

Use the following procedure to create a PDF profile.

  1. Navigate to Capture > PDF profiles.

    The PDF generation profiles page appears.

  2. Click New.

    The New PDF generation profile dialog box is displayed.

  3. Enter a Name for the PDF profile, such as Customer Onboarding.

    The name cannot be more than 50 characters.

  4. Optional. Enter a Description for the PDF profile, such as "Use this profile to generate PDFs for the Customer Onboarding documents."
  5. To select the mode of generation of recognized text in PDF (PDF/A) format, select either option for Text export mode:
    • Image only (default): Exports images only from a PDF file.

    • Text and images: Exports both text and images from a PDF file.

      If using this mode, select the Add tags option; otherwise, the generated PDF may contain OCR data (text) with extra spaces between letters. For example, "A R R O W C O M P O N E N T S O L U T I O NS".

  6. Select the PDF version for the generated output PDF files.

    TotalAgility supports the following versions of PDF:

    • Auto

    • PDF Version 1.3

    • PDF Version 1.4

    • PDF Version 1.5

    • PDF Version 1.6

    • PDF Version 1.7 (default)

  7. To make the output PDF files PDF/A-compliant, select the PDF/A compliance for the selected version. (Default: None)

    PDF/A is an ISO-standardized version of the Portable Document Format (PDF) specialized for the digital preservation of electronic documents. It targets the reliable long-time preservation of digital documents with text, raster images and vector graphics as well as associated metadata.

  8. To specify the document structure and allow the extraction of page content, Add tags to the PDF document. Tags are useful for identifying text and graphics, conversion to HTML and XML file formats, and interpretation by assistive software for the visually impaired.
  9. To use compression, configure the following settings in the Compression group:
    1. Click Yes for Use compression.
      Other options in the Compression group appear.
    2. Select the Sensitivity from a range of 1 to 5.
      A high sensitivity setting preserves faint data, increases quality and increases the file size. A low setting reduces the file size but suppresses textured backgrounds and reduces the quality.
    3. Select the Background quality from a range of 1 to 5.
      TotalAgility renders the background as a compressed image, and this parameter controls the quality of this image. A high setting increases quality, but decreases compression and increases the file size. A low setting reduces the file size, and increases compression, but reduces the quality.
    4. To detect and adjust picture quality and file size, select Picture detection and then select the Picture detection quality from a range of 1 to 5.
  10. Click Save.
