Kofax ControlSuite 1.1.0 Release Notes

Kofax ControlSuite is an integrated print and output management, capture and mobile document workflow solution. ControlSuite combines individual components that work together in various configurations to create multiple document processing workflows.

ControlSuite manages the secure document distribution and information collection process. It features document security and document workflow automation; including scanning and archiving, document routing, print management and document print stream transformation technology. ControlSuite also includes mobile workflows, print reduction, print accountability and document conversion.

New features

Kofax ControlSuite 1.1.0 is now available on the ControlSuite software download server for installation. These release notes provide lists of items that were fixed from the previous release, as well as any current known issues.

This release contains the following new features:
  • New platform support for Windows Server 2019 and SQL Server 2017.
  • ControlSuite details added to the Kofax Security Whitepaper.
  • An Offline Installer Package can be created through Install Assistant.

Fixed issues

D-17151

Install Assistant prerequisite checker engine was updated to check for newly released .NET Core Runtime version 3.0. Without this update, Install Assistant was not able to detect this new version and did not clear the failed prerequisite check for .NET Core Runtime if version 3.0 is installed.

D-17117 Konica Minolta used the same SHA-1 certificate on all devices. Resolution: The KonicaMinolta iOption component will now generate a SHA256 self-signed certificate if the existing certificate is invalid or SHA1. This certificate is used for OpenAPI connections to Konica Minolta devices.

Known issues

D-17458 Configuration Assistant automatically un-enrolls services if re-run. Requires services to be restarted.

When using Configuration Assistant to unenroll/re-enroll services, the corresponding services need to be manually restarted. An unenroll/re-enroll is done automatically by the Configuration Assistant Wizard (the first time after an upgrade) whenever you go through the Authorization & Security page and click 'Next'. Any services seen on the Services page should then be restarted.

D-17448 Ricoh Combined Client: When performing a native scan to folder using the Ricoh combined client, jobs are not tracked in Equitrac or Output Manager. Will be addressed in a later release.
D-17437

The ControlSuite upgrade process restores the Konica Minolta Combined Client to default settings.

If changes were made to the web.config then the upgrade process may render the system non-functional.

Workaround:

Prior to the upgrade backup your web.config. After the upgrade is completed restore the web.config from your backup.

In a configuration that includes AutoStore, the web.config can be found in the C:\Program Files\Nuance\AutoStore\KonicaPanelClient folder.

For Output Manager only configurations, the web.config can be found in the C:\Program Files\Nuance\Output Manager\Services\Clients\Konica Minolta folder.

For Equitrac only configurations, the web.config can be found in the C:\Program Files\Nuance\Equitrac\Device Control Service\KonicaPanelClient folder.

D-17253 Install Assistant fails to download updates on a system with FIPS enabled. Workaround: Disable FIPS when Install Assistant is required to download updated packages automatically. Use the offline installer package, or download the latest package on a non-FIPS system, or disable FIPS compliance policy to download the latest package.
D-17202 Verbose logging is enabled by default for the Konica Minolta iOption capture component. Workaround: Verbose logging should only be enabled for troubleshooting purposes. The default log level has been set back to Information only.
D-17075 No message displays stating to “uninstall Autostore 7 before upgrade” when upgrading from AS 7 to AS 8 using ControlSuite fix pack 2. Will be addressed in a later release.
D-17020 Retrieve licenses error displays when TLS1.2 is disabled on license server. Workaround: Ensure TLS 1.2 is enabled on print server, and that TLS 1.1 and 1.0 are disabled.
D-17014 Print job can be released multiple times even though "print and save" feature is not selected. This is as designed.
D-16535 ControlSuite is incorrectly estimating the amount of free disk space needed to install the product. Workaround: Add more than the recommended disk space on the server.
D-16276
The Output Manager "Configuration, Authentication and Accounting" role is not added to list of roles to be deployed for the following questionnaire paths:
  1. When installing Equitrac and choosing "Host-based printing powered by Output Manager (Equitrac Enterprise only)"
  2. When installing AutoStore and selecting "Output Manager" to the following question: "Which product do you want to use for Authentication (Foundations) and Follow-You Print (Enterprise)?"
Workaround: Manually add the Output Manager "Configuration, Authentication and Accounting" role using the advanced selection option, after the questionnaire is done.
D-15928 After creating a Redirect to AS rule in Equitrac, and creating a workflow in AutoStore, if you print a .txt file from an Equitrac server, the document is blank when printed. Some Type 1 fonts aren’t being processed in the PostScript data.

Workaround: Change a setting in the Lexmark driver:

  1. Open the driver’s Printing Preferences.
  2. Go to Other Options.
  3. In the Print As setting in the TrueType Fonts concept, change “Adobe Type 1 Fonts” to “Adobe Type 42 Fonts”.
Save the change, and print the document.
D-15246 After creating a watermark rule in Web System Manager and printing a document with more than one page, the watermark is only applied to the first page. The next page shows an error. This issue occurs on Lexmark devices. Will be addressed in a later release.
D-15222

ASP.NET prerequisite might show as missing even though it is properly configured.

This is a known Microsoft issue that happens if the Hosting Bundle is installed before ASP.NET is configured. A repair to Hosting Bundle (.NET Core runtime) would fix this.
D-13650 Business Connect doesn't indicate to the user that retrieving the list of print jobs fails due to a missing Print Release licence. Will be addressed in a later release.
D-11742 In Business Connect, the user is presented with message: "File successfully sent to print queue" even though file is not sent to the queue for locked user. Will be addressed in a later release.
D-11524 A document file name that contains the & character cannot be processed with a watermark or user information stamping. Will be addressed in a later release.
D-10877 When a watermarking rule is applied, a document’s content and watermark might shrink and only appear in the top left corner of the page. This issue occurs on a Fuji Xerox device. Will be addressed in a later release.

Workaround: Remove the watermarking rule.

D-10747 When applying a watermark and using a printer with a PCL6 driver, watermarks are displayed as the background of the file layer. Will be addressed in a later release.

Print Management (Equitrac)

Introduction

Equitrac is a server-based print management and cost recovery solution which measures, monitors, and manages document output on the network. By regulating devices on the network, and local desktop printers, Equitrac tracks and controls photocopies, print jobs, scan jobs, and faxes with minimal administration. Equitrac allows you to track, analyze and, if necessary, allocate expenses for every document that any user sends to any networked printer, copier or multi-function device.

New features

This release contains the following new features:
  • Remove the Equitrac requirement to configure a Windows Service Account.
  • Support default print preference settings for Equitrac managed print queues.
  • Add more secure API to replace Equitrac v5 API functionality.
  • Validate performance of Equitrac billing/client matter codes for use in Legal cost recovery.

D-17434 WebClient requires a minimum of .NET framework 4.7.x if installed on its own server (separate from CAS). If the Web-based System Manager is to be installed on its own server, that is not on same server running CAS, then make sure that the system has .NET Framework version 4.7 or newer.
D-17432 No rename or cost preview prompt when first creating a DRC printer and the job is recorded twice Workaround: After creating a DRC printer, do a force cache update and restart the EQShared Engine.
D-17426 WATQA Print Client: On the WATQA domain the reverse DNS lookup returns an unqualified name for the CAS/DRE server. Will be addressed in a later release.
D-17419 Equitrac Print Client requires SecurityAdmin credentials to install. Will be addressed in a later release.
D-17373 EQAcctMonitor does not run with Upgrade mode OFF. Will be addressed in a later release.
D-17348 Fuji-Xerox EIP: User cannot login to the MFP after re-adding the embedded device Will be addressed in a later release.

D-17065 After upgrading EQ 5.7 to EQ 6.0 PCC cannot connect to the server. Workaround: After upgrade, a "Full Install" operation in DRS is required to reconnect PCC to the server.”
D-17046 HP-OXP: Follow-You Print button stops responding between Delete button and Add button. Workaround: Reboot the MFP to resolve the unresponsive issue.
D-16818 Invalid page count with Macintosh Ricoh PS driver using N-Up and Booklet. Will be addressed in a later release.
D-16967 When using the RICOH PS V4 UniversalDriver V1.14, page counts may be inaccurate. For more accurate page counts, use RICOH PS UniversalDriver V4.22, RICOH PCL6 UniversalDriver V4.22, or PCL6 V4 Driver for Universal Print. Will be addressed in a later release.
D-16691 EQCluster: The job list is empty for the embedded client using DCE on Windows cluster. Will be addressed in a later release.

D-15920 The first login at a Ricoh PCC5 device gives a "Problem connecting to the server" error then automatically logs the user out on first login after force cache update. Will be addressed in a later release.
D-15916 If running Web Deposit Setup Tool when the SQL user for Web Deposit is already created, the tool will report that the DB roles for the user failed even though it successfully completes the setup. Will be addressed in a later release. Does not impact functionality.
D-15801 Web Client single-sign on configuration not enabled. SSO needs to be enabled manually to acquire the logged-in Windows user account. Will be addressed in a later release.
D-15760 When creating a Scheduled task, the Start date and Start time fields in the "When to Run" section are not observing the locale format. Will be addressed in a later release.
D-15674 In Web System Manager: Right-clicking the links in the Navigation Bar to open in a new tab or window loads the Dashboard page instead. Will be addressed in a later release.
D-15410 When using Xerox EIP or Fuji Xerox JBA, the 'Force a poll' operation in Web System Manager may not update the 'Last poll' field. Will be addressed in a later release.
D-15311 Custom message does not appear in Equitrac Messages application for a redirect rule. Will be addressed in a later release.
D-15099 When using Fuji Xerox APEOS JBA, native copies and scans are not tracked if logging in as ‘Department’ or ‘Billing Code’. Must log in as a user account. Workaround: Log in as a user account.
D-15066 In Web System Manager - Global Configuration Settings/Workflow Management: Creating a new workflow with default settings cannot be saved. Some edits to the workflow must be done. Will be addressed in a later release.
D-14846 Function Access Control exceptions are not denying access to users in exception group. Will be addressed in a later release.
D-14736 Print jobs are not appearing using release key with Fuji Xerox JBA or Xerox JBA. Known system limitation.
D-14190 Equitrac does not inform the user that a print request from Business Connect will fail when user has 0 balance, even with ‘enforce account limits by user’ enabled in Equitrac. Will be addressed in a later release.
D-13821 MFP shows “Accounting server is offline” on printer panel when logging in with user ID without a license instead of something more descriptive. Will be addressed in a later release.
D-12866 Access Permissions to Department Managers cannot be enabled. Will be addressed in a later release.

D-07216 Distributed upgrade: RedHat DRE Print job does not appear in web release. Will be addressed in a later release.
D-11377 When release key is enabled on the Equitrac server, the print job is not seen on the MFP after entering release key for RedHat DRE printer. Will be addressed in a later release.
D-10877 When printing a watermarked document on certain Fuji Xerox devices, the content of the page may shrink and appear in the upper left corner of the sheet. Contact support for assistance with this issue.
D-17019 When a userstamp rule is applied, the resulting output might be a blank page. This issue occurs on certain Fuji Xerox devices. Contact support for assistance with this issue.

Capture (AutoStore)

Introduction

AutoStore provides a flexible component-based server for capturing electronic and paper documents.

  • Capture components capture documents from scanners and multifunction devices, fax, email, smartphones and tablets, XML data streams, PC desktops, office applications, and network and FTP locations.
  • Process components support functionalities to detect, read, extract, store, convert, classify, and index content in captured documents.
  • Route components deliver documents to virtually any destination such as fax, email, network folders, PCs, and document management systems.

These three categories of components provide compatibility with different brands of hardware and allow similar processing for different devices. Workflows combine components to align content processing to the business requirements of an organization. Forms, open SDKs, actions, validation scripts, and modules support fully customizable solutions. Security features, such as encryption, secure sensitive business information. Scalability allows deployment on a single PC with a just a few endpoints or on enterprise servers with thousands of end points.

  • These components give the ability to export electronic documents or document images to Kofax TotalAgility, where those can be further processed.
Universal Capture (Capture)
  • The Universal Capture Component allows integration between AutoStore and external applications, for example with Kofax TotalAgility, to incorporate documents and metadata into AutoStore workflows.

SharePoint (Route)
  • Impersonation does not require both the impersonator user and the impersonated user to be site admins.
  • Uploaded document is now not checked in when impersonation is configured with Check in option not set.
  • Impersonation fails if the Impersonate account does not have the necessary rights to upload a document.
  • Impersonate and Overwrite options are now mutually exclusive when routing to List Items.
  • MSG files can now be uploaded to server.
VB/Jscript (Process and Route) Coding error is now shown as error in the Status Monitor.

Known issues

AutoStore Component Issue
General issues The AutoStore service may not start if Toshiba, GoogleDocs and WebCapture components are in the same configuration.
AutoCapture Optimal memory handling is not guaranteed.
AutoStore Process Designer AutoStore Process Designer crashes after capturing a file when there is an inactive IBM CM 8.4 eConnector component in the flow.
Barcode The Barcode component may crash when processing multi-page document. A possible workaround is to use the OP Barcode component instead.
Bates Stamp RRTs cannot be used in First value and Length fields.
Box It may be time consuming to save documents to a non-existent folder in the Box server.
Fuji Xerox AIP When a user stamp rule is applied, the resulting output might be a blank page. This issue occurs on certain Fuji Xerox devices.
GoogleDocs Adding a user account to the list of authenticated user accounts may fail through the configuration UI of the component. In this case follow the steps described in the Web Authorization Server configuration Tool chapter of the component help.
OP Barcode
  • Issues may arise during certain Data Matrix Barcode image recognition.

  • It was possible to create invalid OPBarcode configuration in prior versions of AutoStore. If the Code cannot be selected in combination with other symbologies error message appears, the conflicting barcode types must be removed from the configuration.

Professional Image Management
  • The batch service may stop if you process a multi-page xps document. The possible workaround is to convert the document into a different format before processing.

  • Vertical resolution and Horizontal resolution settings in the PDF Load Option does not affect the output.
  • Issues may arise when Remove hole punches functionality is used.

SharePoint

Error occurs when collection size exceeds 5000 documents.
VB/J Script Error messages related to VB/J Script are displayed as warning in the Status Monitor.
WebCapture (Capture) FIPS enabled deployments of AutoStore are now licensable.

Output Management (Output Manager)

Introduction

Output Manager allows an organization to automate document workflows and failover of printing, prevent release of sensitive information, and provide secure release of documents to print devices. Output Manager processing is transparent to end users and allows granular administrative control over user capabilities, and special processing for specific document types. Secure document release can be achieved directly at multifunction device (MFD) panels, through web browsers, or from tablets or smartphones.

D-17217 When the IPP source is configured with Enable SSL checked, listener port 443 was added to the already configured listener port. Now only the configured listener port is available.
D-14700 SSL could not be enabled for Xerox and Konica-Minolta devices using the Configuration Assistant. The certificate assigned to the DBM in Configuration Assistant is the certificate that is bound to the Server port when using SSL on the OM Console Administration > Set General Preferences > Clients tab.
D-12844 In a high availability environment, the Scheduler did not work as expected when the DBM switches. This issue is fixed. There can be a few minutes delay before scheduling begins working again after a DBM has been shut down.
D-09210 Unusual behavior with IPP sources, accepting a job to a random OM Source. A Disable base listener checkbox is added to the IPP settings tab. When this option is selected, all traffic must be directed to the exact URL of the IPP queue.

D-17203

An error may occur while attempting to open Printer Properties or Printing Preferences dialogs on a Windows printer definition, configured to use the OM Universal PostScript Driver. This can happen if the Windows printer definition becomes corrupted.

Workaround: Delete and recreate the printer definition.
D-17132 In Kofax Ricoh SOP, documents sent to sub-groups of All Destination did not appear properly for the user. Workaround: Set the <add key="IgnoreDisplayDestinationSpecificDocumentsOnly" value="true"/> flag in the DBM, and restart the DBM. Kofax Ricoh SOP 1.1 client MFPs show the documents added to the network folder in the user's list on the client.
D-17019 When a user stamp rule is applied, the resulting output might be a blank page. This issue occurs on certain Fuji Xerox devices.

D-16453 When printing a watermarked document on Lexmark MX722 device, the watermark may be faint or not visible. Will be addressed in a later release.
D-16188 When installing Output Manager on non-English versions of Windows, the viewer and some transform related functions might not work properly.

Workaround:

  1. On systems running Output Manager, add the following System Variable to the server's Environment Variables:
    • Variable: compart.cplib.nativecodepage
    • Value: windows-1252
  2. Restart the Output Manager services and the Output Manager Console.
D-15977 Output Process and Rules Agent may conflict if they both invoke cpmill.exe (Advanced Document Modification) at the same time. Will be addressed in a later release.

Workaround: Change a setting in the Lexmark driver:

  1. Open the driver’s Printing Preferences.
  2. Go to Other Options.
  3. In the Print As setting in the TrueType Fonts section, change “Adobe Type 1 Fonts” to “Adobe Type 42 Fonts”.

Save the change, and print the document.

Kofax Business Connect provides mobile workforces with the flexibility to complete business forms on their device, virtually eliminating the need for paper-based forms used today. For teams working in the office, Kofax Business Connect offers a secure means to print sensitive documents "on-demand" to a local office printer.

Uninstalling the old version of Business Connect will erase server settings. In order to keep server settings, earlier installation of Business Connect must be kept.

Device Registration Service

Introduction

The Device Registration Service web-based interface enables you to manage applications, devices, and device groups. Use the Device Registration Service to register Unified Clients and Combined Clients on devices.

A Unified or Combined Client is a component that merges AutoStore scan, eCopy ShareScan scan, Equitrac scan and print, and Output Manager print functionality on a device. The exact combinations supported depend on the Unified client.

Application properties define connections to AutoStore, eCopy ShareScan, Output Manager, and Equitrac servers for a particular device type.

Device properties specify an Application and determine the options for scan and print functions that are available to users of a particular device.

  1. Upgrade to DRS 7.12 or later. Note: It is recommended to upgrade to DRS 7.13 to access new models. .
  2. Uninstall the Ricoh SOP 1.0 client.
  3. Install the latest Ricoh SOP 1.1 client using DRS 7.12 or later with a Full Install action.

  • Allow DRS 7.12 or later to uninstall Ricoh SOP 1.0.
  • Do not allow DRS 7.12 or later to manage or install a Ricoh SOP 1.0 environment.

DRS 7.13: Upgrade Ricoh PCC 5.0 to 5.1

D-17112 When the administrator on the device had a blank password, then unregistering authentication in DRS with the blank admin password would fail. This issue is now resolved.
D-17110 When unregistering the client, DRS may have failed to remove the instance of the Kofax MFP application. The instance of the Kofax application will always be removed.
D-17104 DRS was customizing the applications folder name on the device even if other applications were installed. D-17325 When DRS registers KM CC authentication, it starts by ensuring that the device is in a state where registering an authentication application is possible. To do this, DRS sets the device's authentication mode to OFF, and removes any authentication application on the device. If you have some other vendor's authentication registered on the device, you may want to remove it first using the procedures documented by this vendor to ensure that you comply with their requirements.
D-17184 When running the upgrade tool, the user might not see the popup to give write access to the LocalDB files. The following error appears because the database is read-only. Message : Failed to update database "C:\PROGRAM FILES\NUANCE\DEVICE REGISTRATION SERVICE\SERVICE\DRS_LDB.MDF". Workaround: Give the following files write access for the user running the tool: C:\Program Files\Nuance\Device Registration Service\Service\DRS_LDB.mdf and C:\Program Files\Nuance\Device Registration Service\Service\DRS_LDB_log.ldf. To do this, right-click each file and select properties. Go to the Security tab, add the user and select Allow for Write. Re-run the upgrade tool.

DRS 7.15/8.0.3

  • When running the DRS upgrade tool, the user may not get the popup to grant write access to the LocalDB files. If this happens, the following error appears: Message: Failed to update database "C:\PROGRAM FILES\NUANCE\DEVICE REGISTRATION SERVICE\SERVICE\DRS_LDB.MDF" because the database is set to read-only.

    Workaround: Give the following files write access for the user running the upgrade tool: C:\Program Files\Nuance\Device Registration Service\Service\DRS_LDB.mdf and C:\Program Files\Nuance\Device Registration Service\Service\DRS_LDB_log.ldf. To do this, right-click each file and select Properties. Go to the Security tab, add the user and select Allow for Write. Re-run the upgrade tool.

  • The Konica Minolta Combined Client does not enforce usage quotas.

  • AutoStore Windows authentication SSO does not work when CAC server and the AS server run on different domain.

DRS 7.13/8.0.0

  • HomeKey Assignment Mode set to UI Change Mode which puts the Ricoh Home Key in the top left corner of the panel is not currently supported.

DRS 7.12

  • The order of fields upon adding an application are different between an upgrade and a new installation.

  • The order of actions are off from upgrade compared to a new installation.

  • The order of customized workflow buttons may change on the device console if the default workflow is not available.

  • Plugin folders may remain from a previous version of DRS. The installation process will not remove folders installed separately. Plugin folders that should not no longer appear in the current build of DRS may therefore have to be removed manually.

  • In device groups with Inherit properties from group set to true. When the Application for a group is changed, devices already in the group do not inherit the new Application. When a device is with a different Application than the group is added to the group, it may also not inherit the group Application. This issue is still under investigation.

  • Users were sometimes unable to log into a device after installing and configuring it using DRS. Error messages showed Error:-15 and Identification failed errors. This issue is observed to occur when a device is installed manually and then configured with DRS.

  • A warning may be observed when deleting a device group that The deletion of the device may result in the inability to unregister the application from the device. Do you want to continue? This is by design as removing a group in this case may lead to an inability to unregister the Application associated with the group from devices if an Action is in progress while the group is deleted.
  • Konica Minolta iOption: DRS 7.9 Konica Minolta plugin may try to register against the highest version of OpenAPI. Makes sure that you register authentication on the device with OpenAPI version not higher than 4.9. Konica Minolta Bizhub and AccurioPress devices that support i-Option function:

DRS 7.11

  • In the Device Registration System Configuration tool, when Run Service under Network Account is selected on the Service tab, the error message Service credentials are invalid is displayed even when the Username and Password are valid. In order to use the Network Account option, you must start the Device Registration Service in the Windows Services console.

Combined Client for Ricoh

The following limitations may affect your use of the combined client:

  • The Combined Client (Ricoh ESA) does not support turning off HTTP web services when the single sign-on () function is required with CAC version 3.1.8. As a result, the user name does not pass from CAC to the Combined Client when HTTP web services are disabled with only HTTPS enabled on the Ricoh MFP device. Communication between the MFP device and the server that hosts Device Registration Service, AutoStore, or Output Manager is not affected by disabling the HTTP web service.
  • The Combined Client for Ricoh accounting tracking for scan and fax activities has changed. Scan tracking is limited to AutoStore scan only. Fax tracking is no longer available.
  • Premature logout from CAP during AutoStore scan will disrupt MFP sleep mode transition.

Unified Client for Samsung Smart UX

The following are known issues with this release of DRS:

  • Two icons are displayed on the device after clicking on Administrator to access the native screen. Clicking on an icon displays an error message indicating that user is not logged in.
  • The Multipage option in AutoStore does not work for TIFF and XPS file types. Pages are still scanned to single page TIFF and XPS files when the Multipage option is selected.

Unified Client for Toshiba v 1.0

  • If a Toshiba device is powered off while the Unified Client for Toshiba v 1.0 is processing a job, history and billing information will be lost for the job after the device is restarted and the connection to the server is reestablished. Reestablishing the connection between the client and the service after the device is restarted may also require multiple reboots of the device and restarting DRS services on the server.
  • Changing the Application specified by the Application setting in the DRS Device settings and then running the Install and Register action generates a DWS Installation failed error in the Action History or an internal device error. To avoid these errors, run the Uninstall and Deregister action before changing the Application setting for a previously installed and registered Device.

  • The Welcome screen still shows after deregistering a device when the Server configuration property in the Application Properties dialog box is initially set to Equitrac only or AutoStore and Equitrac and then changed to AutoStore only. You must restart the device to resolve this issue.

The following features have been added in DRS for the Ricoh SOP 1.1 devices:

  • Multiple install options to deploy the embedded client allow the system administrator to choose install and configuration options to deploy and configure the embedded application to the device.
  • DRS now provide status feedback to the system administrator that shows the current state of the deployment of the embedded application to the device.
  • DRS now uses either hostname or IP address to communicate with the device.
  • Enhancement to configure and control deployment of native device functions (copy, fax, scan, GlobalScan NX and Ricoh Cloud Apps) to a single device or multiple devices.
  • When deploying native device apps, DRS can now be configured to select the correct device type (MFP, SFP or 306/406) to only deploy supported functionality to a device.
  • DRS now provide Database Upgrade Tool that goes through all existing application profiles, devices and device groups, and perform necessary modifications to have the database records ready for the latest DRS release.
